Job Description:

GENERAL DESCRIPTION OF WORK:

Responsible for the warranty collection of monetary reimbursements for bus, automotive, and facility replacement parts, that include shop tools and electronic shop components that fail prematurely during their specified warranty period. Analyzes, documents and prepares all warranty claims and submits to bus and automotive manufactures and vendors to ensure that VIA is reimbursed for all parts and labor costs associated with defective parts.

 

ESSENTIAL FUNCTIONS:

Responsible for the collection, analysis and presentation of data relating to bus, automotive and facility warranty activities.

 

Reconciles settlements with manufacturers to maximize warranty collections.

 

Collects, prepares, and ships defective automotive and bus parts for warranty reimbursement.

 

Receives, identifies, inspects all warranty replacement parts to verify correct parts and quantities were received and prepares documentation to return to inventory.

 

Reconciles all vendor and manufacture warranty claims for monetary reimbursements and replacement parts.

 

Responsible for preparing and maintaining all warranty related records and files.

 

Maintains and distributes schematics and technical manuals for maintenance and parts.

 

Utilizes advanced word processing functions and special applications such as Microsoft Word, Excel, Outlooks and Access.

 

Utilizes Ellipse, Business Objects, Fleet Maintenance Shop Reports to process and report all maintenance, material, and finance streams.

Serves as liaison between the Fleet and Facilities Division, Procurement, bus manufacturers and vendors.

 

 

Prepares warranty claims for settlements that maximize VIA’s warranty return and minimize VIA’s cost per vehicle mile.

 

Reviews and verifies packing slip information with visual inspections of delivered items scheduled for shipping.

Ensures material descriptions and shipping quantities match VIA freight reports, purchase orders and invoices.

Verifies vendor information, purchase order line items, back orders, and receiving dates to ensure accurate invoice and inventory processing.

Documents exceptions on bill of lading, packing slips or other delivery documentation.

Contacts carrier representatives to make arrangements and to issue instructions for shipping and delivery of parts, material and supplies.

 

This job description excludes marginal functions that are incidental to performing the job. Other duties may exist.

 

EDUCATION AND EXPERIENCE:

Must have completed high school or equivalent, plus one-year additional business school, college, or training courses; and at least one year related experience or an equivalent combination.

 

ADDITIONAL REQUIREMENTS:

Analytical ability to gather information and interpret data in situations where problems are difficult or semi-complex, such as reviewing and identifying defective parts, gathering data for possible fleet defect claims, preparing warranty claims, identifying component parts that are suspected of premature failures.

 

Must have considerable knowledge of bus and automotive parts nomenclature to identify components specifically relating to bus fleet sub-systems such as brake/air systems, steering and suspension, engine, transmission, differential, air conditioning and electrical systems. Basic knowledge of fuel station components for gas, propane, diesel, and CNG. This knowledge is required when resolving warranty issues with management, manufacturer and vendors.

 

Must be self-motivated and able to work independently daily.

Must be knowledgeable of computer and internet usage for researching warranty period for new parts and new vendor requirements for claim processing.

Must have ability to prepare documentation for domestic and international shipments.

Responds to inquiries from various departments regarding the status of material.

Must have ability to read and understand semi-complex materials such as invoices, receiving documents, packing slips, credit memos, reports, reference manuals and instructions.

 

Must have good verbal and written communication skills.

 

 

Must have thorough knowledge of the theories, methods, materials, supplies and common office procedures used in large scale warehouse and distribution operations.

Must have the ability to follow oral and written instructions.

 

Must have effective interpersonal skills both in person and telephone.

 

Must have business mathematical skills to perform calculations.

 

Ability to perform work within established deadlines with minimum supervision.

 

Ability to operate usual office equipment.

 

Performs administrative duties, which require knowledge of office procedures, and departmental policies.

 

Must be able to maintain good work attendance.

PHYSICAL REQUIREMENTS:

Must have the ability to operate various material handling equipment to include forklifts, pallet jacks, banding machines, hose cutting machine, weight scales, power tools, shrink wrap equipment, electric parts carts, and VIA support vehicles.

Must have ability to frequently bend stoop, twist, squat, kneel, walk, stand, climb stairs, and be moving around machinery.

 

Physical ability to be mobile, bend, stoop, twist, squat, kneel, climb stairs, stand and occasionally lift objects weighing 75 pounds, push/pull 100 lbs. Ability to frequently lift/carry 35 lbs., push/pull 50 lbs.

 

Must be able to respond to safety and emergency horns and vehicle backup alarms.

 

Job requires use of both hands either simultaneously or singly and both feet are required for foot controls either simultaneously or singly.

 

 

WORK ENVIRONMENT:

Work involves exposure to dust, fumes, gases, noise and unfavorable weather conditions.

 

Work involves high degree of accountability, deadlines, multiple priorities, rigid service goals and objectives.
