Job Description:

The Nebraska State Penitentiary is currently seeking self-motivated, results-driven candidates for the position of Office Technician. Duties:
Provides administrative support to assigned Executive Staff at the Nebraska State Penitentiary (NSP). Disseminates information in person, by telephone, email, or correspondence pertinent to the activities of the assigned Executive Staff to provide requested responses and data to written inquiries, visitors, agency employees, and others. Creates and modifies manual and electronic filing and record keeping systems pertinent to the assigned Executive Staff to ensure availability of necessary information and confidentiality of the material. Types, enters, and scans narrative, numerical, and/or statistical information from rough draft and/or revised typed draft, documents, electronic communications, or voice recordings to facilitate the processing or documenting of information. Reviews and sends hard copy and electronic mail, form letters, and material relying on established correspondence guidelines and/or supervisory instructions to determine the nature of the request for information pertinent to the assigned Executive Staff procedures, operations, and priorities. Takes and transcribes minutes and dictation from meetings to facilitate the processing of correspondence and/or to ensure that information and topics discussed at meetings are recorded. Arranges meetings for the assigned Executive Staff to ensure the appropriate selection of time, location, agenda, and attendance list. Operates office equipment such as personal computer, reproduction and scanning equipment, calculator, posting and mailing machine, multi-line telephone system, and associated software. Orders office supplies and equipment to maintain the office inventory. Check and file/retrieve correspondence, records, reports, and other information using manual and electronic files/databases arranged in alphabetical, numerical, chronological, subject matter, and/or random-access order to facilitate the identification, processing, and/or filing/retrieval of these material, and/or the control of databases or similar archives.



Requirements / Qualifications:




Minimum Qualifications: Coursework/training or experience in public contact, customer service, and/or performing and applying office/clerical support procedures, including the use of a personal computer, associated software, and office equipment.



Preferred Qualifications: At least one year of experience performing office/clerical/secretarial support functions. Experience taking meeting minutes and transcribing dictation. Proficiency using Microsoft Office (Word, Excel, and Outlook).



Other: Must have a valid driver's license. Applicants accepting a job offer must pass the following pre-employment exams in this order: medical exam, and at a randomly announced time, pass a drug test. Once at the Staff Training Academy, must successfully complete the fully paid NE Corrections Training Program.
