We are currently looking for an Executive/Personal Assistant to join our team!

Why we need you:
  • Manage multiple projects as assigned by the Chairman related to diverse lines of business, community, and personal interests with inter-related activities and relationships.
  • Handles financial and accounting matters (including expense reports) for the chairman with confidentiality
  • Coordinates calendar, travel, meeting, and schedule arrangements for the Chairman, staff, business partners, and family.
  • Works closely with other team members to assure the Chairman's preparation for meetings, presentations or other engagements. Administrative and functional activities include but are not limited to: Taking phone calls
  • Scheduling appointments and coordinate calendars (business and personal)
  • Maintaining personal and business files;
  • Corporate record keeping for multiple entities;
  • Note taking & creating documentation
  • Filing, storage & retrieval of business and personal activities.
  • Coordinating travel arrangements for business and family vacations (must be able to travel as needed)
  • Make restaurant reservations
  • Be able to plan small and large events
  • Manage philanthropic interests
  • Research, hire, and supervise vendors and contractors for home projects, as needed
  • Ensure the routine maintenance of homes and vehicles
  • Handle shopping and errands for business and personal

  • Carries out responsibilities with professionalism, respect for others, in accordance with the organization's policies and applicable laws
  • Any other duties as assigned.

What we're looking for:
  • Associates degree required; Bachelor's degree preferred
  • 10+ years' experience performing administrative duties
  • Bilingual is a plus but not required
  • Experience in overseeing budgets and expenses
  • Professional level communication skills
  • Advanced knowledge of MS Office products (Outlook, Word, Excel, PowerPoint)
  • Solid planning, organizational, and problem-solving skills
  • Strong independent judgment and attention to detail
  • Ability to provide keen attention to detail
  • Ability to prioritize and organize tasks according to deadlines and urgency, and complete them in a timely and professional manner
  • Ability to create, edit and analyze Excel spreadsheets, Word documents, PDF files and PowerPoint presentations
  • Knowledge of basic accounting principles
  • Proficiency in MS Office Suite
  • Ability to multitask
