Job Summary:

The Administrative/executive assistant provides high-level administrative support by conducting research, handling information requests and performing clerical functions. A typical administrative assistant acts as information and communication managers for an office.

Job Duties and Responsibilities:

· Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work;

· Prepare invoices, reports, memos, letters, financial statements and other documents;

· File and retrieve corporate documents, records and reports

· Read and analyze incoming memos, submissions and reports to determine their significance and plan their distribution;

· Prepare agendas and make arrangements for committee, board and other meetings.

Qualifications (Knowledge, Skills and Abilities):

· Requires a High School Diploma or equivalent;

· Requires five (5) or more years of experience in a similar role;

· Requires the ability to interact and assist all levels of staff & customers;

· Requires a high level of discretion with regard to sensitive and confidential information;

· Requires proficiency in MS Office Suite (Microsoft Word, Excel, PowerPoint, Adobe Acrobat, SharePoint, Microsoft Access);

· Experience with Office 365 suite a plus;

· Prefer work experience in the oil and gas engineering industry;

· Must be highly organized, detail oriented and able to manage multiple tasks;

· Must possess strong customer service skills.

Working Conditions:

• Work is primarily conducted in an office environment (Private or Semi-Private Office;

• Interaction with other team members, as well as supervisors and client personnel;

• Must be able to wear safety equipment as required by the safety department for personal protection.

Physical Requirements (With or without Reasonable Accommodation):

• Must be able to lift and carry five (5) pounds;

• Sufficient clarity of speech and hearing or other communication capabilities, with or without reasonable accommodation, which permits employee to communicate effectively;

• Ability to sit for prolonged periods of time with or without reasonable accommodation.
