Title: Workplace Experience Coordinator

Overview

Our client is seeking a a highly organized and personable Workplace Experience Coordinator to serve as the forefront representative of a well-known company at the Bellevue, WA Headquarters. In this pivotal role, you will curate an inviting atmosphere for guests, team members, and vendors, ensuring optimal operational efficiency and a positive experience for all stakeholders.

Responsibilities
  • Extend a warm and professional welcome to guests, clients, and team members at reception desks.
  • Collaborate seamlessly with the Physical Security Team to oversee visitor tracking and escort protocols.
  • Execute precise vendor coordination, maintaining strict adherence to company policies and procedures.
  • Facilitate essential office processes including mail handling, supply management, and shipping logistics.
  • Respond promptly and courteously to internal service requests, ensuring exemplary customer service standards.
  • Maintain meticulous standards in meeting room and collaboration area maintenance, liaising effectively with facilities for ongoing upkeep.
  • Exercise prudent oversight over office supplies, budgets, and inventory management, demonstrating fiscal responsibility and resourcefulness.
  • Comfortable navigating a dynamic, non-desk-bound work environment with grace and professionalism.

Required Skills & Experience
  • Strong commitment to delivering a positive experience to internal and external stakeholders.
  • Experience with office technology and software, including email, spreadsheets, and scheduling tools (e.g., Outlook, Excel, or similar tools) to assist in administrative and inventory management tasks.
  • The capacity to lift and carry objects, equipment, or supplies, which can range from light items (less than 10 pounds) to heavier items (up to 50 pounds or more).
  • The ability to move around the facility, including walking, events, standing, and possibly climbing stairs or ladders for excessive amount of time.
  • Will have ability to bend, stoop, kneel, and crouch for tasks like inspecting equipment, performing, and accessing low storage areas etc.
  • Standing and sitting, for extended periods during inspections or maintenance tasks, as well as sit for desk work and administrative duties.
  • Ability to engage professionally and warmly with guests, clients, and team members, and effectively relay information to internal teams.
  • Proven ability to handle multiple tasks and prioritize effectively in a fast-paced environment, ensuring timely completion of office processes like mail handling, supply management, and shipping.

Preferred Skills & Experience
  • Familiarity with coordinating vendor services, adhering to established procedures, and ensuring timely execution of vendor responsibilities.
