We are currently seeking an experienced Administrative Coordinator to join our corporate High Associates team, supporting our Brokerage Services Department.  The Administrative Coordinator is responsible for all duties associated with the administrative support to the Sr. Vice President and members of the Brokerage Services Team including, but not limited to calendar management, meeting materials preparation, database maintenance, digital marketing and the creation of marketing correspondence, as well as daily tasks of mail retrieval, responding to telephone calls, filing, and processing accounts payable.    

Areas of responsibility:


  • Provide professional administrative support for the Senior Vice President and Brokers to ensure they are operating efficiently, inclusive of managing extremely active calendars; assisting in developing departmental processes; preparing, formatting and editing a range of documents with accuracy; processing accounts payable; processing invoices; and meeting material preparation 

  • Maintain accurate records of all available property inventory, including preparation of monthly inventory report for all High Properties and third-party listings. 

  • Maintain client resource management system (CRM) 

  • Maintain accurate documentation for current listings, under agreement, sold and leased properties.  Process third-party leases.  

  • Maintain escrow account and all documentation in compliance of the High Real Estate license, which includes balancing the checkbook, maintaining real estate license documents for all High realtors and all under agreement listings. 

  • Maintain real estate license files for all High coworkers and keep track of continuing education class credits for license renewals. Notify coworkers of required training areas per state requirements. 

  • Collaborate with the Marketing and Events Manager to identify market trends and opportunities for marketing innovation. Working with various digital marketing software including Canva, social media platforms, SEO, key word search and pay per click. Assist with creating and distributing marketing correspondence. 

  • Organize and facilitate relationship marketing events. Assist in planning and execution of events. 

Our ideal candidate will possess the following: 


  • High School Diploma or GED, required 

  • Additional education in a business-related field, preferred 

  • Four or more years' experience in a multi-faceted administrative role, required 

  • Strong working knowledge of PC and Windows skills, including Microsoft office programs 

  • Real Estate License, preferred 

  • Working knowledge of MLS software 

  • Working knowledge of social media platforms and digital marketing 

  • Excellent written and verbal communication skills 

  • High level of organization skills in order to support a large team of dynamic co-workers
