Job Description:

The Division of Student Affairs is responsible for the portion of the collegiate experience that occurs outside the classroom. Our departments specialize in the areas of career services, leadership and volunteerism activities, student life activities, student conduct, housing and food, health services, and more. We also provide student affairs services on OU’s Tulsa, Health Sciences Center, and Arezzo, Italy campuses. Student Affairs strives to enhance students’ academic success by developing student skills, cultivating diverse, campus life experiences and enriching the university community through programs and services. 


This position will provide daily financial and human resources support for the Vice President of Student Affairs Office and/or other assigned areas within the Division.  Support will include accounts receivable and payable, departmental transfers, monthly financial reconciliations, routine and custom reports, expense versus budget comparisons, PCI-DSS compliance, on- and off-boarding employees, creating job descriptions, and posting job listings.  The Financial Analyst will provide support for routine campus-wide processes including the budget process, Personnel Review Cycle (PRC), and performance reviews. This position will also provide day-to-day support for departments within the Division of Student Affairs including communicating and interpreting policies and answering questions regarding campus procedures.


Duties:



  • Assists with the administration of a variety of human resources and financial related processes and procedures and acts as liaison for internal and external customers. Responds to process related problems and provides support as needed.

  • Manages assigned university and OU Foundation accounts.  Enters requisitions, vouchers, interdepartmental transfers, and Service Unit Requests (SUR) as needed. Provides staff support with purchases, travel claims, student awards and scholarships, and reimbursement requests.  Manages Pcard and travel card usage.

  • Monitors financial and budgetary systems for the department to insure proper allocation of expenditures and compliance with applicable regulations.

  • Balances assigned accounts and prepares monthly financial statements.  Clears outstanding expenses, payroll, budget revisions, and transfers to ensure funds are spent correctly. 

  • Generates reliable cost information to be used in preparation of new or modified budget proposals. 

  • Assists in the preparation and administration of the annual budget and preparing follow-up reports as requested throughout the year. 

  • Collects and analyzes data and prepares financial reports.  Ensures quality of data, researches inconsistencies, and conducts follow-up research to solve problems.

  • Acts as the payroll coordinator for assigned areas.  Enters hire and termination information, compensation changes, promotions, and other personnel actions into HR PeopleSoft.  Monitors positions in HR PeopleSoft, updates time supervisors, assigns required trainings, and runs reports as needed.  Maintains confidential records and tracks time-sensitive documents.    

  • Answers frequently asked questions from Student Affairs staff related to policies and processes; refers more complex questions to Human Resources, Payroll, Financial Services, or supervisor.  Contacts various campus offices to request information as needed.

  • Assists with the development, implementation, and interpretation of policies and procedures, ensuring compliance with federal, state and university policies and regulations.  May perform occasional public relations functions and/or Student Affairs education sessions related to guidelines and procedures.

  • Performs administrative duties including but not limited to making travel arrangements, keeping a calendar, and setting up meetings and appointments. Solves departmental problems as they arise.

  • Performs various duties as needed to successfully fulfill the function of the position.

Education: Bachelor’s degree in Accounting, Business Administration, or related field, AND: 



  • 24 months financial, budgeting or accounting experience.


Equivalency Substitution: Will accept 48 months of related experience in lieu of the Bachelor’s degree for a total of 72 months of related experience.


Skills: 



  • Detail oriented for accuracy of data and information

  • Highly organized and able to handle multiple projects and deadlines.  Ability to complete tasks in an efficient and timely manner

  • Critical thinking skills, including an aptitude to research, collect, and analyze data and prepare reports or responses to inquires

  • Excellent oral and written communication. 

  • Ability to quickly build rapport with students, faculty, and staff.  Welcoming and caring demeanor when interfacing with students, alumni, staff, faculty, and colleagues.

  • Ability to produce reports and complete work within deadlines

  • Strong initiative to solve problems in a timely manner.  Willingness to work closely with supervisor and other departments across campus to manage work and solve problems.

  • Working knowledge of office and accounting procedures

  • Basic math skills  

  • Knowledge of Microsoft Office Suite (Outlook, Excel, and Word).  Strong Excel skills including the ability to build and manipulate spreadsheets    

  • Ability to learn new systems and processes

Departmental Preferences:



  • Prior University of Oklahoma or higher education experience

  • Working knowledge of Peoplesoft’s Human Resources and/or Financials modules

  • Working knowledge of Oracle Taleo
