EXECUTIVE ADMINISTRATIVE ASSISTANT
GENERAL DESCRIPTION:
A person assigned the responsibility for managerial, secretarial contractual and record keeping functions.
RESPONSIBILITIES:
Responsible for assisting the Executive Director, Board of Directors, Board Committees, Medical Director and QI Committee as directed in the performance of their duties.
Maintain books, records and reports for the AMCA/JWADCC, as directed by the Executive Director.
Type letters, memoranda, messages, etc., either by transcribing dictation, rough draft, brief verbal instruction, or personal knowledge of the subject matter. Sets up and maintains a reference file with necessary information available for the Director.
Types, prepares and distributes agenda for Board meetings. Attends regular and special meetings as directed and records minutes of meetings. Writes and types minutes from meetings and distributes them.
Researches information needed by the Executive Director and Board that may be located with others. Relays messages.
Back up for phone systems, ascertains nature of the call, provides necessary information, if possible, or refers to Executive Director or appropriate person. Sets up appointments and meetings for the Director and keeps her informed of pending meetings. Keeps current calendar of regular meetings.
Performs all other duties as required.
Assures documentation compliance with City, State and Federal Programs.
Participates as member of Quality Improvement Committee
Provides supervision of human resource services, and oversight of general orientation & training for all new employees. This includes background checks, license verification, and maintenance of employee records
MINIMUM QUALIFICATIONS:
The Administrative assistant shall have a high school diploma or GED and preferably additional classes that provide training in skills necessary for performance of the tasks of administrative assistant.
Must be detail-oriented and proficient in Word/Excel.
At least two years experience performing tasks expected of an administrative assistant.
