Role Overview:



Under the direction of the Accounts Payable Corporate Manager, the AP Supplier File & 1099 Supervisor is responsible for managing a staff that processes a very high volume of new supplier onboarding requests and updates to existing suppliers. This supervisor is also responsible for the accurate and timely issuance of over 7 thousand 1099-MISC and 1099-NEC each year. Resources aligned under the AP Supervisor are 2-5 specialists.


The primary role of the AP Supervisor is to sustain AP operations within established SLA's and tolerable rates of error. The extremely high volume of requests received in AP combined with the sensitivity of issues surrounding compliance in the context of academic medicine (e.g. patient confidentiality laws, government grant administration, tax reporting) make this task a challenging one and requires the AP Supervisor to possess experience and judgment sufficient to assist the Accounts Payable Corporate Manager in balancing three often mutually exclusive goals: prompt and accurate payments, strict policy compliance, and unimpeachable customer service.



Principal Duties and Responsibilities:



  • Process a high volume of new supplier requests & existing supplier updates annually

  • Manage, motivate, promote, hire, and fire such AP Representatives, AP Specialists, and AP Senior Specialists as are required to accomplish the work of the AP Supplier File & 1099 Team

  • Demonstrate command of and continuously train his/her staff to understand, explain, and when necessary enforce the multiple policies that influence decisions made in Accounts Payable

  • Demonstrate command of and continuously train his/her staff to understand, explain, and when necessary enforce the IRS codes relevant to 1099 reporting as it relates to Accounts Payable

  • Display exceptional problem solving and analytical skills

  • Lead by example in demonstrating Service Excellence in all interactions with internal and external customers

  • Perform annual reviews for staff under their supervision






Qualifications

Qualifications:



  • Bachelor's degree or combination of education and experience

  • 10+ years of work experience

  • 3-5 years of experience managing people within Accounts Payable preferred


Skills/Abilities/Competencies:



  • Fluency with PeopleSoft Financials and/or Workday

  • Unimpeachable verbal and written communications

  • High degree of comfort with standard PC software: Excel, Word, PowerPoint, Access

  • Instincts for and comfort with managing by the numbers; ability to make fact-based decisions relating to production optimization

  • Professional maturity along with initiative to engage in difficult conversations when individual performance falls short of goal

  • Ability to interpret, act upon, and enforce departmental and corporate policies

  • Familiarity with 1099 issuance and related IRS regulations preferred

  • Ability to meet deadlines and work under pressure

  • A strong desire to achieve


Supervisory Responsibilities:



  • Position manages 2-5 FTEs of various levels, including Specialists and Senior Specialists


Fiscal Responsibility:



  • Responsible for managing a staff that processes a very high volume of new supplier onboarding requests and updates to existing suppliers

  • Responsible for the accurate and timely issuance of over 7,000 1099-MISC and 1099-NEC annually

  • Demonstrates fiscal responsibility by effectively using Mass General Brigham resources


Working Conditions:



  • While the majority of responsibilities can be conducted remotely, in-Person work is required annually for the issuance of 1099s and the re-issuance of those forms that were undeliverable by the USPS

  • Other in-person work may arise as needed

  • The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. Normal hybrid office working conditions. The noise level in the work environment is quiet to moderate.
