Job Description:

The Administrative Program Manager assists the Primary Investigator (PI), Professor Jie Shen, in the coordination, oversight, and management of the Shen laboratory. This individual serves as the PI and laboratory's primary contact, interfacing with many internal and external offices, agencies, and sponsors. They support all aspects of laboratory operations, from personnel, grant administration, communications, logistics, laboratory protocols and compliance, and monitoring expenditures.

The Shen Laboratory (http://shenlab.bwh.harvard.edu), at the Brigham and Women's Hospital and Harvard Medical School, focuses on elucidating the mechanisms of Alzheimer's and Parkinson's diseases using genetic approaches. This exciting research may lead to novel therapeutic treatments for these neurodegenerative diseases.



Qualifications

PRINCIPAL DUTIES AND RESPONSIBILITIES:
1. Manages grant administration, from pre- and post-award to closure. This includes the successful initiation and delivery of submissions, reports, and all other documentation and communications required by the sponsor by established deadlines.
2. Provides high-level administrative support to ensure efficient laboratory operations, identify issues and proactively apply problem-solving skills to find solutions and establish supporting systems.
3. Acts as the primary contact and representative of the Shen laboratory for internal and external departments, agencies, and sponsors.
4. Manages laboratory permits, compliance and reporting requirements as outlined by institutional boards.
5. Oversees the distribution and completion of laboratory duties and responsibilities by personnel, and works with personnel to manage laboratory protocols.
6. Oversees laboratory-related finance, including placing orders, invoicing, and tracking and monitoring expenditures.
7. Facilitates staff recruitment, supports onboarding procedures and manages orientation to the Shen laboratory. Supports resignation procedures and handover of research IP by departing staff.
8. Provides direct administrative support to the Principle Investigator and staff as required, including manuscript submission, scheduling and managing logistics for travel and events, calendar management, IT support, preparing or editing materials and communications, and processing reimbursements.
9. Accepts other projects as assigned by the Principle Investigator.


QUALIFICATIONS:
1. Bachelor's degree required, preferably in a field of study related to science, medicine, or business administration.
2. Two to three years of relevant experience preferred. Experience within the academic or medical community, or BWH is preferred.


SKILLS/ABILITIES/COMPETENCIES REQUIRED:
1. Strong sense of integrity, mature and professional manner, discretion, and confidentiality required.
2. Interpersonal communication skills, including experience handling senior colleagues.
3. Highly efficient with excellent organizational skills, such as an ability to set priorities, coordinate multiple tasks, follow through and meet deadlines, all with independence and minimal oversight.
4. Ability to take initiative and a desire to go the extra mile.
5. Good writing skills, knowledge of correct grammar, spelling, and punctuation required.
6. Proficiency with Macintosh computers and ability to learn new systems and software quickly and easily is required. Must have strong skills for commonly used computer programs, such as MS Word, Excel, PowerPoint, database programs, Adobe Acrobat, etc.
7. Some familiarity with social media, web editing tools, Illustrator, Photoshop, etc. desired.
8. The position is part of a small group and as such a cooperative approach and team mentality are key.
9. Ability to stay focused, calm, and professional under pressure is important, as is discrete handling of confidential matters.


WORKING CONDITIONS:


Variable workload in fast paced environment may cause frequent interruptions and the need to shift from task to task prior to completion. Often work under time pressures and tight deadlines.
Work will be conducted in offices close to research laboratories and clinics.


SUPERVISORY RESPONSIBILITY:
This position will help manage lab Fellows and Staff in conjunction with the Principal Investigator.
