Overview

Reporting to the Manager, Office Administration, this role is responsible for providing a variety of tasks to support the organization and management of the office. This role will bridge support for IQT operations and core business, working closely with others to accelerate back-end logistics and processes that enable core functions of the business. The ideal candidate will be a highly organized, detail-oriented team player with a customer service orientation.

* This is a 40+ hours a week on-site 6-month contract position *



Responsibilities

  • Work closely with colleagues across IQT to drive improvement in quality, service, and efficiency.
  • Main backup and partner in covering reception desk, representing IQT in a professional and customer friendly manner, greeting visitors to the office, and answering incoming telephone calls.
  • Provide administrative support to IQT Labs management team and may assist other departments when needed to include handling staff calendars, schedule meetings, arrange travel, and process expense reports.
  • Intermediate to advanced Microsoft Excel skills to regularly preform data input and create/maintain reports.
  • Ensure deadlines are met and adapt to changing priorities.
  • Assist in the auditing, tracking, and replenishing inventory for the mail room, printer stations, kitchenettes, catering rooms/kitchens.
  • Work closely with Office Administration Team to support and provide excellent customer service for employees.


Qualifications



  • 2+ years of experience in a relevant field.
  • Excellent Computer skills – Microsoft Office (Outlook, Excel, Word, PowerPoint)
  • A proven track record of decision making, problem solving, good judgement, and attention to detail.
  • Strong listening and customer service skills.
  • Proactive – able to anticipate the next step without having to be directed.
  • Strong communication skills, ability to gain consensus among multiple stakeholders, ability to follow through, and execute strategies to project completion.
  • Proven ability to develop collegial relationships and drive change in complex situations involving multiple stakeholders.
