Alumni Relations and Development (ARD) engages alumni (~220k), current students, parents, and friends of the University through intellectual, professional, and social activities on campus, around the world, and online. ARD raises $600 Million annually to support faculty and researchers, practitioners and patients, and students and programs across the University. Our work supports priorities in every division, school, department, and institute.


The Strategic Events team (OSE) works across Alumni Relations and Development (ARD) and the University, often with senior leadership - to create best-in-class strategic events engagement opportunities and experiences for our constituents, our alumni community, donors, and friends, that help foster and build connections and affinity with the University's programs and its people.



Job Summary



This position uses best practices and knowledge of non-technical (not information technology or construction related) projects from conception to completion. Assembles teams and develops detailed work plans, schedules, project estimates, resource plans, and status reports while being the point of contact for those projects.


The role establishes priorities and guidelines with management, trains and mentors colleagues, and manages team technology priorities in partnership with the Analytics and Technology Solutions Team (ATS).


The position administers event tools used to engage the alumni community worldwide, increase participation, and advance the objectives of ARD and the University. The role provides onsite registration and event support for campaigns and select other events.



Responsibilities



  • Monitors overall events portfolio to identify strategic needs related to areas of event management that include registration, communications, and event recap reporting. Identify gaps and solutions.

  • Leads efforts with ATS and serves as subject matter expert to identify and implement new event technology needs, such as for event registration platforms and other operational needs.

  • Directs, advises, and trains team on event technology tools in partnership with ATS to establish and maintain operational excellence.

  • Oversees the creation and management of registration reporting templates, tools, and dashboards in support of regular and ad hoc reporting needs. Provides direction and requirements for registration reporting templates, tools and dashboards needed for the Events team's use in event recap reporting.

  • In partnership with Events colleagues, works with ARD Communications to identify and guide communications needs and roles, such as registration pages and invitation deployment.

  • Functions as an advisor and subject matter expert to ARD teams for event registration systems and other tools, procedures, and protocols that enhance efficiencies and help establish event management and information standardization.

  • Provides onsite registration and event support as needed.

  • Evaluates policies and procedures and develops best practices to identify areas where changes will improve the quality, accuracy, and efficiency of the team and contributes to the success of ARD events.

  • Seeks opportunities for professional development that will enhance job performance, including building networks within the University and with colleagues at peer institutions.

  • May mentor, manage, hire, train, and evaluate staff.

  • Is responsible for tracking progress, conducting analysis, as well as preparing for and facilitating project meetings.

  • Acts as a resource for a project team and provides analytical guidance. Interprets complex project issues and provides analytical guidance to a project team.

  • Performs other related work as needed.




Minimum Qualifications




Education:

Minimum requirements include a college or university degree in related field.

Experience
:



  • A minimum of three years of technology database and software information management, or similar professional work experience.

  • A minimum of one year of experience leading a project team or managing staff.

  • Strong commitment to customer service, collaboration, and teamwork.




Technical Skills or Knowledge:



  • Demonstrated skill and knowledge of, or ability to learn quickly, the internal workings of the University as well as the technology tools available to the Office of Alumni Relations and Development, including G Microsoft Windows computer environment, Microsoft Outlook, Word, Excel, PowerPoint, and the CRM.

  • Microsoft Excel and relational database manipulation, design oversight, and report retrieval.

  • Strong organizational, project management and detail-oriented skills.

  • Tableau or other data visualization software experience.

Working Conditions



  • This position has a hybrid work schedule which includes weekly in-office presence.
