About the Position:



This role is an on-campus, in-person position.


This position is responsible for oversight and management of transcript and certification processes including NSC Enrollment and Degree Verification submissions. This role provides system support for Academic Records in the Student Records module. This position tests updates to my.SMU, troubleshoots issues as they arise, researches and implements new functionality. Provides users with documentation on Student Records processes. Assures quality control of manual and electronic processes, fixes and upgrades in the area of Academic Records. Creates, implements, and maintains electronic forms. Provides timely and accurate reports to the NSC which is in turn submitted to the Department of Education. This position contributes to the Registrar's Office efforts to support the Provost's goal of implementing and supporting inclusive excellence initiatives to be true to our belief that 'every Mustang is valued'.



Essential Functions:



  • Manage NSC submissions. This includes scheduling enrollment and degree verify submissions, preparing the data files, auditing the file and completing the submissions. Manage NSC related requests from external auditors. Must stay current Federal enrollment reporting requirements and policies.


  • Oversees transcript ordering. Train staff on processing transcript & certification requests. Trouble-shoots issues with vendor.


  • Provide daily operational support for Academic Records staff in the Registrar's Office which includes running seasonal processes and assisting staff with the running of my.SMU processes. Specific areas of expertise are early/midterm grading, final grading, degrees/diplomas, and transcripts and certifications, graduation processing, honors and awards, enrollment and degree reporting.


  • Assures quality control of manual and electronic processes, fixes and upgrades in the areas of NSC uploads, Graduation Tracking, Academic Standing, Degrees & Diplomas, Early/ Midterm Grading and Honors & Awards.


  • Electronic form and workflow development, implementation, and maintenance. Form creation will vary between GT eForms, Slate, and DocuSign. Collaborates with functional areas to create automated processes.


  • Research all production issues and test possible solutions in my.SMU for the Academic Records area of the Student Records module which may involve working with OIT developers and/or retraining of end-users. Identify and communicate issues to OIT developers and coordinate proposed resolutions and implementation for Records operations which may involve retraining end-users. Open issues in SMUrf and provide clear problem statements in the issue description.


  • Write new and modify existing policy and procedures for Student Records processes, including data queries used in these processes. Maintain documentation for Student Records customizations.


  • Design, implement and test new Student Records functionality in my.SMU


  • Attend all Division, RO and team meetings. Attend staff development and training activities as appropriate. Assist with Academic Ceremonies in a leadership position. Support other Registrar and Enrollment Services programs as requested.






Qualifications



Education and Experience:



Bachelor's is required.


A minimum of three (3) years of experience is required.


Candidate with project management and higher education experience is required. Experience with Student Records and student systems (such as PeopleSoft) is preferred.



Knowledge, Skills and Abilities:



Candidate must demonstrate to be self-directed and team oriented. Candidate must possess strong interpersonal and verbal communication skills, with the ability to communicate broadly across the University and develop and maintain effective relationships with a wide range of constituencies. Must also demonstrate ability to analyze problems and present recommended solutions. Candidate with PeopleSoft/campus solutions experience is desired. Candidate with knowledge of electronic forms and workflow experience is preferred. Candidate must possess strong problem-solving skills with the ability to identify and analyze problems, as well as devise solutions. Must also have strong organizational, planning and time management skills.


Candidate must possess knowledge of MS Word, Excel, Outlook, Access, and Adobe.


This position responsibilities require working three weekends per year and three evenings for University ceremonies. Other extended hours as needed by workload and project.
