Overview

Project Coordinator is responsible for managing multiple strategic projects as assigned by Supervisor. Day-to-day operational activities require a high degree of professionalism and ability to tactfully coordinate internal and external stakeholders to ensure timely progression throughout timeline. Work directly with the Longhouse Director, occasionally may require reporting to nonprofit's President and Board of Directors and taking direction from Tribal Chair and Duwamish Tribal Council.

Duties and Responsibilities
  1. Duties: Manage responsibilities, complete tasks, and deliver upon requests as assigned by Supervisor. These duties and responsibilities are subject to change during high levels of activity. Flexibility and the ability to adapt to change, maintain a team player attitude including working in an open environment, and engage with the general public are a must. Actively participate in staff meetings, attend scheduled events, and facilitate calls. Use discretion with all communications that may contain confidential and/or nonpublic information.
  2. Projects: Manage and coordinate strategic projects with public agencies, local organizations and all relevant DTS stakeholders. Organizes workflow and appointments by reading and routing correspondence and collecting customer information. Maintain a tracker system to ensure timely correspondence and completion within deadlines. Provide weekly briefings to supervisor on all outstanding projects, and adjust priority-level and work plan based on feedback.
  3. Grants and contracts: For assigned projects, will coordinate grant writing, grant proposals and reporting with Bookkeeper, including managing grant funding, reporting and relationships with funders. Reviews and approves new and renewed contracts and related income and expenses as needed for corresponding projects. Ensure databases are current and up to date per grant requirements.
  4. Partnerships: Collaborate with staff and external stakeholders to promote partnerships grounded in trust and respect. Arrange and facilitate meetings with elected officials and community leaders. Cultivates and fosters positive and mutually-beneficial relationships with community partners and organizations, including but not limited to City of Seattle, King County, Washington State, Port of Seattle, 4Culture, Bill & Melinda Gates Foundation, Inatai Foundation, Snoqualmie Tribe, SDOT, Seattle Parks, Seattle ARTS, and numerous others.
  5. Reporting: Attends monthly DTS Board (evening) meeting to provide report(s) as assigned by Supervisor. May include conducting thorough research, completing comprehensive analysis, and creating advisory reports as assigned by Supervisor. Provide transparency to Supervisor with regular updates to project tracker.
  6. Fundraising: Be the main point of contact for coordination of the annual fundraising gala event, coordinating networking and outreach to procure auction items, corporate sponsorships, major donors and volunteers. Host regular gala committee meetings with staff, volunteers and stakeholders to ensure cross communication and updates for the successful execution of the gala.
  7. Community Engagement: Manage regular communications to members of the Duwamish Tribe, at direction of Supervisor, including but not limited to: (1) communicate by social media and email for upcoming events provided by the LH to get increased tribal participation; (2) assist and create content for monthly newsletter; (3) process and get approval check requests for financial support; (4) process applications for tribal membership and issue tribal ID cards and replacements.
  8. Website Maintenance: Assist with regular content updates and fix any broken links, images or documents.
  9. Team Coverage: Support staff with out-of-office coverage, when directed by Supervisor, to ensure that the Public is well-served when visiting the Longhouse.


Qualifications and Skills
  • Tribal history: Possesses in-depth knowledge of the history of the Duwamish Indian Tribe, other local tribes, city, state and federal agencies.
  • Attributes: Displays self-starter, team player and problem-solving skills. A friendly and helpful manner is a must in interacting with the public.
  • Proficiencies: ? Highly motivated with strong organizational skills and the ability to multi-task. ? Excellent time management skills and the ability to prioritize workload. ? Work independently and complete assigned tasks within an approved time frame. ? Organized, dependable and detail-oriented with a cooperative spirit. ? Strong verbal and written communication skills, especially with Tribal organizations and community outreach organizations, and experience working side-by-side with leadership. ? Collaborate with team, and willingness to step in where needed, even if it is not part of their core duties. ? Must be able to interact with and positively engage people of various social, ethnic, cultural, linguistic, religious, economic and educational backgrounds. ? Virtual meeting systems, including MS Teams and Zoom. ? MS Office (MS Excel, Calendar, Word, Teams, PowerPoint).
  • Physical: Requires some physical exertion such as long periods of standing, walking, reaching and lifting of moderately heavy items and boxes. Must be able to lift and carry 30 pounds.
  • Personal contacts: Personal contacts are with Duwamish Tribal Members, other tribes, high-ranking officials, the general public, donors & sponsors, volunteers, educational and granting groups, financial and utility organizations and vendors.
  • Work environment: Work is mostly performed inside and outside the Longhouse but may require local travel and offsite meetings and speaking engagements. Must have reliable transportation.

Guidelines: Duties guided by DTS By-laws, Personnel Policies, Business Plan, Washington State laws

Work week: Monday to Friday, 10:00 am to 5:00 pm. Flexible work hours to accommodate workload and/or personal need. May work occasional weekends and evenings to attend meetings and to support special events, as needed.

Hours & Wage: Part-time to start transition to full time after 90 days. 20/40 hours per week. $30.00/hour. Paid sick leave earned at one hour per 40-hours worked. Paid personal time off (vacation) earned at three hours per 40-hours worked. Qualifies for employee benefits, including health insurance, if work at least 40-hours per week, after 3-month probational period is completed.
