Job Description:

POSITION SUMMARY:

The IP Docketing Assistant will play a crucial role in managing the docketing system for trademarks and patents, ensuring accurate and timely tracking of deadlines, filings, and renewals. Will be detail-oriented and highly organized, possess a strong understanding of IP processes, excellent organizational skills, and the ability to handle sensitive information with discretion.

PRIMARY DUTIES AND RESPONSIBILITIES:

*1. Docketing Management: Maintain and update the IP docketing system, including tracking deadlines for filings, renewals, and other key IP events. Monitor and review docketing reports to ensure timely action and compliance with deadlines. Input and update data related to patent and trademark applications, including due dates, filing statuses, and correspondence.

*2. Documentation and Filing: Prepare and process IP-related documents and correspondence, including applications, office actions, and responses. Coordinate with legal teams and external partners to ensure accurate and timely submission of documents to relevant IP offices.

*3. Data Accuracy and Reporting: Ensure the accuracy and completeness of docketing records, making corrections as needed. Generate and distribute regular reports on docketing status, upcoming deadlines, and other relevant IP metrics.

*4. Communication and Coordination: Serve as a point of contact for internal teams and external parties regarding docketing-related inquiries and updates. Collaborate with IP attorneys, paralegals, and other team members to support IP management activities.

*5. Compliance and Quality Control: Monitor changes in IP laws and regulations to ensure compliance and adjust docketing practices accordingly. Perform quality checks on docketing data to ensure consistency and accuracy.

6. Administrative Support: Provide administrative support to the IP team, including scheduling meetings, managing files, and handling confidential information.

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
  • EDUCATION: Associate's degree or equivalent experience in a relevant field; a degree in legal studies or IP management is preferred.
  • WORK EXPERIENCE: Minimum of 2 years of experience in IP docketing, legal administration, or a related field. Familiarity with IP laws and procedures, including trademarks and patents, is highly desirable.

PREFERRED:
  • Proficient in IP docketing software and Microsoft Office Suite (Word, Excel, Outlook).
  • Strong attention to detail and accuracy with the ability to handle complex data and deadlines.
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
  • Strong written and verbal communication skills.
  • Ability to work independently and as part of a team in a fast-paced environment
  • Highly motivated with a proactive approach to problem-solving.
  • Demonstrates integrity, professionalism, and discretion in handling confidential information.
