Essential Duties and Responsibilities:
Administrative Oversight:
Manage day-to-day office operations, including scheduling, patient intake, and coordination of services.
Ensure the office environment is welcoming, organized, and compliant with health and safety regulations.
Oversee the implementation of office policies and procedures to enhance operational efficiency.
Sales Support:
Assist in driving business growth by supporting sales initiatives and client acquisition strategies.
Collaborate with the sales team to track leads, follow up with prospects, and manage customer relationships.
• Maintain and update client records to support sales efforts and customer engagement.
Customer Service:
Provide exceptional service to patients, addressing inquirie, and ensuring a positive experience.
Coordinate with clinical staff to manage patient appointments, follow-ups, and communication.
Handle patient complaints and feedback professionally, working to improve service quality.
Medical Billing:
Oversee medical billing processes, including coding, claims submission, and reimbursement management.
Ensure accurate and timely billing for services, including psychiatry, IV infusions, and ketamine treatments.
Work with insurance companies and patients to resolve billing issues and process payments.
Team Support:
Coordinate with clinical and administrative staff to ensure smooth operation of services.
Assist with onboarding and training of new team members as needed.
Provide support to the management team with various administrative tasks and projects.
Education and/or Work Experience Requirements:
Proven experience in office management, preferably in a healthcare or medical setting.
Strong understanding of medical billing and coding practices.
Excellent organizational, communication, and customer service skills.
Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.
Proficiency in office software and medical management systems.
A proactive and detail-oriented approach to problem-solving and task management.
Preferred education: Bachelor's degree in Healthcare Administration or a related field; Medical Assistant (MA) certification is a plus.
