Job Summary



Department-Specific Responsibilities

  • Works closely with the Luddy Director of Academic Operations and the Undergraduate Recorder to assist with undergraduate student records operations which includes, but is not limited to, degree conferral, change of major/minor, student exceptions, student permissions, edrop/eadd, egrade changes, developing and maintaining the academic advising report system, and degree maps.
  • Acts as a contact for Luddy undergraduate students, academic units, and advisors related to undergraduate records operations.
  • Processes and maintains undergraduate student records; answers specific questions regarding records.
  • Ensures that records are accurate and complete.
  • Investigates and resolves questions or discrepancies.
  • Manages the undergraduate email inbox.
  • Assists with audits on undergraduate degree progress, graduation eligibility, and degree conferral to ensure timely completion of diploma processing and notification for students with unsatisfactory academic progress or other related issues in addition to processing degree conferrals.
  • Assists with the undergraduate academic difficulty review process each semester.
  • Works closely with the Luddy Scholarship team to review undergraduate scholarship requirements and ensure that students meet scholarship eligibility.
  • Other duties as assigned.
General Responsibilities
  • Interprets and explains a wide range of university and governmental policies and procedures involving official records and/or student loans to students, faculty, parents, and the general public.
  • Processes and maintains official records; answers specific questions regarding records; ensures that records are accurate and complete; and investigates and resolves any questions or discrepancies.
  • May process, approve, and issue short term loans and/or official documents including transcripts, student loan deferments, and insurance forms after determining student eligibility.
  • Responds to requests for information; determines appropriateness of release of information under well established university and federal policies; transmits information, if appropriate.
  • Distributes and collects forms from walk-in clients; sets up staff appointments, if needed.
  • Monitors any changes to student files; updates as new information is received. Develops and maintains files and databases.
  • Responds to student inquiries regarding status of account. Provides technical direction to part-time student staff.
  • May certify completion of degree requirements.

EDUCATION



Required



  • High school diploma or equivalent (such as HSED or GED)

WORK EXPERIENCE



Required



  • 2 years in customer service, higher education, or related field


Preferred



  • Experience in student services, higher education, or related field

  • Experience working with complex data and/or records services in a team environment

Working Conditions / Demands



This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.

Advertised Salary



$35,505.60 per year and $38,500.80 per year dependent upon experience and internal equity.



Work Hours



Monday-Friday, 8am-5pm (EST) with a 1-hour lunch break


However, supervisor may be open to discussing a slightly varied scheduled for the selected finalist if needed.
