The Administrative Assistant provides administrative assistance and clerical support to all functional areas of the office, including operations, estimating, and accounting.
Essential Functions
Coordinates administrative activities for office
Maintains Outlook Calendars
Orders office supplies and coordinates equipment needs
Receives, distributes and sends mail, faxes and copies as needed
Meets deadlines
Prepares Correspondence
Types letters, memos, correspondence and fax transmittals
Prepares legal documents as necessary
Coordinates training and events
Assists in booking of association events
Assists with new hire orientation and safety training
Coordinates drug or alcohol screening with local clinics
Assists with workers comp, first aid and general liability reporting
Communicates with internal/external customers
Professionally administer all incoming calls and redirect appropriately
Greets guests in professional, friendly and hospitable manner
Provides highest levels of quality and service
Assists in multiple departments
Assists in preparing, printing, and/or sending documents as needed
Promotes and maintains personal safety
Exhibits safe work behaviors
Wears all prescribed PPE
Education Qualifications
High School or Equivalent is required
Experience Qualifications
1-3 years experience in administrative position required
Experience in construction or heavy highway construction preferred

Clerical office environment
Indoor conditions that include standard office equipment such as computers, photocopier, phone, filing cabinets, fax machines, cubicles
Some exposure to highway construction job sites, which includes exposure to inclement weather, moving traffic, noise, fumes, mechanical and heavy equipment
Sits at a desk for hours at a time
Looks at a computer screen hours at a time
Performs data entry, alpha and 10-key numeric, on a keyboard or tablet
Uses copy/fax to scan documents
Sits in motor vehicle and drives regularly
This is a full-time position, normally 40 hours per week. Days and hours of work are Monday through Friday, during normal business hours, but shift and weekend work may be required
Travel is not expected; some local job site travel may occur
