Job Description:

This position will be an integral member of a small team with an all-hands-on-deck philosophy to help shape and grow the Institute for Science & Policy. The Institute for Science & Policy is a catalyst for thoughtful dialogue, working toward solutions on society’s greatest challenges with scientific thinking, empathy, and inclusivity. We engage diverse audiences, including scientists, policymakers, journalists, funders, thought leaders, community groups, and the public, while providing the tools, processes, and collaborative environment to navigate complex science and policy issues.  This position requires adeptness at a variety of administrative and project duties, adheres to high ethical standards, understands sensitivity of issues, and helps ensure that the Institute maintains its reputation as trustworthy and non-partisan resource. This position requires working with a diversity of stakeholders, including C-suite, and must be able to communicate clearly and effectively. We are a fast-paced, collaborative environment, so adaptability is essential.   The team works in a hybrid environment and flexibility is required, including at the office, at home, at the podcast studio, occasional in-state travel, and attending evening events.  This position has no supervisory responsibilities.Job Class: Full-time
Hiring Range: $25/hour
Work Schedule: Monday - Friday (occasional evenings)

Essential Duties


  • Provides support on all department-specific projects. May lead the collection of data, research, and other information needs.

  • Coordinates event and program logistics, including catering, registration, technology, and other duties. 

  • Coordinates communication materials and meeting schedules.

  • Works with partners, advisors, groups, and other staff for project, event, and general department support. 

  • Prepares and coordinates meetings: scheduling, agendas and materials, logistics, and minutes.

  • Orders supplies, assists with travel arrangements, and maintains calendars.

  • Builds and manages relationships with contractors.

  • Tracks finances, grants, metrics, and other operational needs, including centralizes and organizes documentation, plans, reports, contracts, personnel paperwork, etc.  

  • Provides database system and project management support.

  • Acts as a liaison and provides outstanding customer service to internal and external people through answering questions, providing insight, resolving concerns, and representing the Institute and Museum at events and in the community.

Minimum Qualifications/Requirements


  • High school diploma or equivalent required.

  • 3 years managing a project for a department required.

  • 3 years experience providing administrative support or equivalent work experience required.

  • Some evening/night/weekend work required.

  • Intermediate proficiency with Microsoft Office suite and web-enabled applications required.

  • Advanced computer skills, knowledge of project management software

  • High attention to detail and follow-through

  • Ability to work on multiple projects with overlapping timelines and objectives
