The Administrative Assistant will provide support to the Executive Assistant, Engineering & Construction Team, and will offer general support to the Construction Project Assistants. This position requires excellent communication skills, strong multitasking abilities, and a proactive approach to problem-solving.
Job Description
Responsibilities:
SAP Concur
Travel - Schedule travel and make necessary air, hotel, car, restaurant, etc. reservations; provide schedule via preferred method; communicate ko key stakeholders as appropriate.
Expense - Complete and process VP expense reports
APMS SharePoint
Support as backup County Administrator for the system granting access & removal.
Signinghub
Support the system as Administrator to register/remove users.
Support users to navigate the tool.
Safety Online Induction Training (TDOC)
Set up new employees/companies and individual contractors to complete the online training.
Purchase Management System
Create purchase requests, receipt invoices, and submit to Accounts Payable for payment.
Assist in coordinating company events/meetings
Schedule and prepare conference rooms for meetings/events.
Arrange catering as needed.
Book meeting space.
FedEx Shipping
Receive incoming packages.
Prepare shipments for national and international delivery to recipients and project sites as needed.
PPE Inventory Control
Help maintain personal protective equipment inventory for the Chicago office
Serve as back-up to the Construction Site Administrators
Maintaining and updating fleet vehicle information and logs, mileage reports
Other responsibilities as assigned, driver status, etc.
Assist site managers with meeting agendas and minutes.
Audit APMS system and ensuring files are saved in their proper locations.
Assist updating project photo folders as needed.
Assist the site project teams with E&C tracking file, PTO/Rotation tracking, site-specific hours.
Placing orders for site necessities, such as office equipment and tools, safety products, PPE, etc.
Required Skills and Competencies
High school diploma or equivalent, College degree or equivalent is a plus.
Proven experience in an administrative support role in an office environment.
Strong written and verbal communication skills
Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and other relevant software. Adobe Acrobat knowledge a plus
Strong organizational and time-management skills.
Excellent verbal and written communication abilities.
Ability to handle multiple tasks and prioritize effectively.
High level of attention to detail and accuracy.
Ability to exercise discretion and maintain information confidentiality
Team player and positive attitude
Spanish Language proficiency is a plus
Have a valid driver's license and satisfactory driving record.
