Job Description:

ASSISTANT PROJECT MANAGER
  • Procore Management
  1. Submittals - Work with PM on tracking down and submitting documents. PM & Super to review/ approve any submittal prior to pushing to procure.
  2. RFIs - Work with PM on follow-up and writing RFIs with PM supervision and approval.
  3. Directory - Keep the active sub-directory, including helping PM ensure all new subs are added.
  4. Plans - Collect and distribute coordination drawings from Consultants & distribute to appropriate subcontractors. Review drawings with PM and Superintendent. Set up coordination meetings for the PM to chair.
  5. Collect subcontractor changes for PM review.
  • Responsible for generating project updates for PM review.
  • Putting together the entire permit package of documents for PM approval - BE PERMIT GURU!
  • Send out and potentially assist in writing scopes of work on transmittal. Sending out Transmittal emails to subs and proper saving of each email. Tracking down and Saving all Bids to Dropbox. Make sure Super has a copy of all new sub-agreements.
  • Keep File Structure of Dropbox for all projects clean, clarifying and archiving appropriate documents
  • Ability to review drawings and specifications to become completely familiar with the project and identify long lead times and critical path items, helping PM put together purchasing schedules.
  • Familiar with Owner contract T&Cs.
  • Develop purchasing schedule/ procurement log and obtain designer/consultant approval. Manage said submittal log and ensure all submittals are processed promptly in accordance with purchasing.
  • Complete quantity take-offs as requested by Estimating and PM.
  • Develop and manage project punch lists & completion of any outstanding & warranty items.
  • Collect & process as-builts once Drywall begins and submit to the EOR for verification & then to the municipality to not hold up final CO and close out ASSIST PM Putting Agenda with pre-installation meetings.
  • Attend weekly project meetings and keep detailed meeting minutes for publishing to project team

ASSISTING PM IN THE FOLLOWING
  • Assist in obtaining and conducting bid evaluations. Develop scope requirements with subcontractors and vendors, striving for the best value.
  • Assist PM in Tracking Permitting Process and Following up with each Dept to Get Permits ASAP
  • Assist in the development of comprehensive budgets and timelines.
  • Assist in putting together VE spreadsheet and help PM follow up with proposals to complete budget efforts
  • Assist PM in managing and tracking project changes, use customer input to make improvements, and meet/exceed internal and external client expectations.
  • Assist in the collection of & assemble all required close out documents for certification. Assist in the oversight of all service, warranty, and property management under the purview of PM.
  • Assist superintendent in providing 3 week rolling look ahead and sending out to all Subs listed.
  • Assist in ensuring contracts, insurance, and W9 are current and received before subcontractor performs any work on site. Follow up on collection of all non-received documents and escalate any issues to the PM. Make sure all info transmitted to Accounting.
  • Assist in preparing the project meeting agendas and associated attachments as directed by the PM.
