POSITION OVERVIEW

This role manages cross-functional teams responsible for delivering defined project outputs on time, within budget, and with quality results.

Project Managers plan, organize, monitor, and oversee one or more projects to meet project objectives. They work closely with the Executive Sponsor and PMO to guide efforts toward achieving intended business results. They report to the Program Manager responsible for acquisitions.

Project Managers have primary responsibility for defining scope, planning, tracking and managing the project, for identifying resource requirements and providing the direction they require in order to meet project objectives. They also ensure appropriate management, stakeholder and supplier involvement throughout the life of the project.

ESSENTIAL DUTIES AND RESPONSIBILITIES

PM & Portfolio Governance


  • Ensure implementation of project management standards, processes, and support services.

Project Portfolio Management

  • Represent project in a variety of communication formats, both written and verbal. The Project Audience will include a variety of staffing levels, including, but not limited to, external consultants, departmental and senior management, including C-Level leadership, and other project team members. The Project Manager will assure that priorities are communicated and understood, and that progress/delays/issues are reported in an agreed upon formant and schedule.

Project Support, Sponsorship, and Delivery

  • Determine project goals and priorities with management, including the Executive Sponsor.
  • Manage relationships with project stakeholders, including internal and external clients and vendors, keeping stakeholders informed of progress and issues in order to manage expectations on all requirements and deliverables.
  • Manage and communicate a clear vision of the project objectives, and motivate the team to achieve them; create an environment that enables peak performance by team members.
  • Support requirements of the project stakeholders to provide necessary information and support for successful project delivery.
  • Leads, plans, schedules, tracks, and manages project deliverables, goals, and milestones; adjusts project plans and/or resources to meet changing needs and requirements

    • Assesses risks and creates strategies for risk mitigation and project contingency planning
    • Designs and maintains technical and project documentation
    • Identifies and resolves project issues; ensures appropriate communication to project stakeholders
    • Creates and executes project work plans and revises as appropriate
  • Negotiate the performance of activities with team members and their managers if operating in a matrix environment.
  • Coach to clarify assignments and deliverables.
  • Organize the work into manageable activity clusters (stages) and determines an effective approach to completing the work.
  • With Core and Extended team members, compile a complete and accurate estimate of a project effort; using reserves appropriately.
  • Prepare project plan and schedule and obtain management approval.
  • Track and report on progress to plan, cost and schedule reporting, and change control.
  • Provide routine updates to cost plan and resource requirement forecasts.
  • Identify and analyze risks, establish contingency plans and identify trigger events and responsibility for initiating mitigating action. Oversee activities of risk management. Gather stakeholder input and rank top project / project risks in terms of impact, probability, overall severity, and priority.
  • Analyze the actual performance against the plan and make adjustments consistent with plan objectives.
  • Arbitrate and resolve conflicts and problems within the project.

    • Manage vendor relations and procurement related to the project.
    • Communicate project status, risks and issues to appropriate managers on a timely basis

      • Determine what constitutes successful closure for all parties. Gain acceptance and sign-off by all parties when closure is attained.
      • Resolve issues related to client relations, governmental relations, quality, risk and safety.
      • Ensures project plans and all project documents are complete, current, and appropriately stored
      • Keeps track of lessons learned during the life of the project and facilitates a discussion/review at the end of project as part of closing the project out

      • Performs other duties and responsibilities as assigned including but not limited to:

        • Holds/attends team meetings, phone conferences, and training as needed
        • Knows, understands, and follows teammate guidelines, employment policies, and department or company procedures

PM Talent Management & Essential Training

  • Project Managers provide performance input to team members' functional managers.

QUALIFICATIONS / REQUIREMENTS

Soft Skills

  • Ability to build teams and generate a spirit of cooperation while coordinating diverse activities and groups; people management and negotiating skills within a team environment.

Technical Skills

  • Extensive knowledge of project management methodology and demonstrated competency in project management processes, including planning tasks and allocating resources, risk management, issues management, time management, financial management, HR management, working in teams, quality management, monitoring and reporting, documentation and record keeping.
  • Budget management skills; Ability to analyze and review financing plans and related budgetary information to determine the impact on a project is required.
  • A background in a related industry sufficient to understand the technologies and issues involved with the project and the industry, to be able to anticipate and identify obstacles, and to make sound decisions.
  • Knowledge of the strategic and operational issues of the project or business unit.
  • Advanced proficiency in MS Project required; intermediate proficiency in MS Word, Excel, PowerPoint, SharePoint and Outlook required

Other

  • Strong knowledge of overall organizational structure and department interdependencies, especially the business areas impacted by the project goals and objectives.
  • Personal integrity and courage to escalate issues about the project to management when necessary and to advocate for responsible solutions to project problems.
  • Willingness to travel 25% with periodic increased spikes of travel up to 75% in response to changing business activity

Education Requirements


  • College degree, preferably in a technical subject; minor or advanced degree in business or industry-related subject is a plus. In some industries, work experience may be substituted for educational
  • PMP® certification and/or other industry and project management certifications.

Number of Years Experience

  • Minimum 5 years of extensive experience working in management of projects including demonstrated ability to manage large, complex projects on time and within budget.
  • Industry experience preferred.
  • P roficiency with project management software tools used by Summit.

Optional Desired Background or Emphasis of Essential Qualities

  • Demonstrated expertise in creating and maintaining deliverables such as, project plan, status reports, timesheets, estimates, communication plan, reports, risk management plan, budget (work hours and cost), milestone/deliverable charts.
  • Demonstrated experience in managing issues, scope, and quality while bringing project projects to successful completion within the cost and time requirements.

  • Demonstrated expertise in teambuilding and leading teams.

Physical Demands

  • Ability to lift minimum of 2 pounds to a maximum of 15 pounds unassisted; able to sit for extended periods of time with some standing, stooping, walking, stretching, reaching, lifting; moderate range of body motions
  • Ability to hear and interact by phone, in person, and in presentations clearly and efficiently
  • Ability to use computer and all peripherals as needed to meet goals
