Essential Functions of the Job:

  • Develops and maintains office forms and procedures and assists with administrative tasks.
  • Answers central telephone system and directs calls accordingly.
  • Receives the public and answers questions, in person and by telephone; responds to inquiries from employees, citizens and others and refers, when necessary, to the appropriate person, official or department.
  • Prepares outgoing mail; sorts and distributes incoming mail.
  • Duplicates and distributes materials.
  • Composes, types and edits correspondence, reports, memorandum and other material.
  • Assists public with the use of department facilities.
  • Maintains office supply inventory.
  • Monitors and logs visitor admittance and issues badges when required. Schedules and monitors the conference rooms.
  • Assist Sales Department as backup Customer Service Representative. i.e. Quote Entry, Purchase Order Entry, Contract Review Support etc.
  • Assists other Departments as needed by performing clerical duties such as filing, sorting, logging, photocopying, collating and distributing documents.

Education:


Graduation from high school or GED equivalent with specialized course work in general office practices such as typing, filing, accounting and bookkeeping.



Experience:


1-2 years related experience and/or training; or equivalent combination of education and experience



Knowledge/ Skills/ Abilities:

  • Competency to read and comprehend simple instructions, short correspondence, and memos.
  • Aptitude to write routine and simple correspondence.
  • Ability to speak effectively with all visiting guests, as well as, all employees within the organization.
  • Ability to apply common sense understanding to carry out instructions furnished in written or oral form.
  • Capability to deal with problems involving several concrete variables within standardized situations.
  • To perform this function successfully, an individual should have knowledge of Microsoft Office Suite



Physical & Environmental Factors:


While performing the duties of this job, the employee generally works indoors within the office and manufacturing areas. The employee is occasionally exposed to moving mechanical parts, fumes or airborne particles and toxic or caustic chemicals. The noise level in the work environment is usually moderate or loud. Also, the employee is regularly required to sit and talk or to hear. The employee is frequently required to use hands to finger, handle, or feel and reach with hands and arms. The employee is occasionally required to stand and walk. The employee must occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision.



This role is subject to compliance with the International Traffic in Arms Regulations (ITAR) and the Export Administration Regulations (EAR), which requires the incumbent to be either a US citizen, lawful permanent resident ["green card" holders] or have refugee or asylee status.




**Please note that the salary range information is only applicable for California. The pay range represents the low and high end of the salary range we reasonably expect to pay for this position at the time of posting. An employee's pay position within the salary range will be based on several factors, including, but not limited to, geographic location, experience, education, skills, qualifications, performance, and business or organizational needs.



Pay Range: $20 - 23/hour.
