Sterling Search Partners is helping a Birmingham client with its search for a Part-time Executive Assistant. We are seeking a highly organized and proactive Executive Assistant to support our executive team. The ideal candidate will possess exceptional communication skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.
Key Responsibilities:
Administrative Support: Manage the executive's calendar, including scheduling meetings, appointments, and travel arrangements.
Communication: Serve as the primary point of contact for internal and external stakeholders; manage correspondence, including emails and phone calls.
Documentation: Prepare and edit reports, presentations, and other documents as required; maintain accurate records and files.
Meeting Coordination: Organize and prepare materials for meetings; take minutes and follow up on action items.
Project Management: Assist in the planning and execution of special projects; monitor progress and provide updates to executives.
Research: Conduct research and gather information as needed to support decision-making processes.
Office Management: Ensure the executive office runs smoothly, including managing supplies, equipment, and general administrative tasks.
Qualifications:
Bachelor's degree in Business Administration or related field preferred.
Proven experience as an executive assistant or in a similar administrative role.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
Strong organizational skills and the ability to prioritize tasks effectively.
Excellent verbal and written communication skills.
Discretion and confidentiality in handling sensitive information.
