Job Description:

The Marketing Administrative Assistant will provide high-level administrative and secretarial support to the Chief Marketing Officers (CMOs) and assist the marketing department. This role is ideal for someone who thrives in a fast-paced, high-visibility environment, coordinating meetings, managing calendars, and handling sensitive materials with discretion. You will work closely with marketing leadership and support a variety of marketing initiatives, ensuring smooth day-to-day operations.

Key Responsibilities:
  • Coordinate and manage the CMOs' schedules, meetings, and travel arrangements.
  • Serve as the first point of contact for the CMOs, handling correspondence, phone calls, and communications with internal and external stakeholders.
  • Draft and edit correspondence, reports, presentations, and other documents.
  • Organize logistics for departmental meetings, conferences, and special events.
  • Maintain and update the marketing department's calendar and documentation.
  • Assist with administrative duties, including processing invoices, handling expense reports, and managing electronic and physical filing systems.
  • Act as the out-of-office contact for functional directors, providing support as needed.
  • Coordinate service awards and special events, along with regular anniversary acknowledgments for staff.

Qualifications:

Required:
  • High School diploma or equivalent.
  • Minimum of 5 years of experience in an administrative or executive assistant role.
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
  • Strong organizational skills and attention to detail.
  • Excellent grammar, punctuation, and proofreading skills.

Preferred:
  • Bachelor's degree.
  • Experience in a legal or marketing environment.
  • Familiarity with Microsoft Visio and document management systems.
  • Ability to type at least 55 words per minute.

Additional Details:
  • Schedule: Full-time, 35-hour work week (Monday-Friday, 9am-5pm), with potential for overtime.
  • Work Environment: Minimum of three days in the office per week, with flexibility. Wednesday is a mandatory in-office day for the marketing department.
