Job Description:

The Learning Operations Specialist will be instrumental in managing and supporting multiple learning teams within LTOD. This role involves coordinating training logistics, streamlining processes, and providing administrative and strategic support to ensure the effective delivery of learning initiatives. The ideal candidate will have strong organizational skills and the ability to handle multiple tasks in a dynamic environment.

Essential Job Functions:


  • Strategic Partnership:

    • Act as a strategic partner for the extended Learning, Talent, and Organizational Development (LTOD) team to identify and align projects across the team, providing unified opportunities for the team and the enterprise.

    • Optimize the processes associated with running a training department including strategic alignment, training and vendor diagnostics, facilitation, learning technology integration, content quality, reporting and analytics, administrative support, and portfolio management.  

    • Optimize the training team for operational excellence to create exceptional training department processes. 

    • Provide ongoing review and analysis of current training processes and procedures to identify gaps and inefficiencies. 

    • Facilitate various LTOD programs, including Onboarding, Career Development, Degreed Training, and Performance Management.



  • Facilitation & Support:

    • Actively interact and communicate with participants, management, legal team, technology team, stakeholders, and vendors.

    • Manage projects, logistics and stakeholders supporting programs and initiatives.

    • Support online, virtual, and in-person training events, including in-person Quarterly New Hire Onboarding Events (in DC).

    • Assign courses, create groups, and assign pathways and plans in Degreed.

    • Provide administrative support for instructor-led events, ensuring accuracy and attention to detail.

    • Oversee logistics, materials setup, and act as the onsite point-of-contact for training events when needed.



  • Measurement, Data Analytics, and Reporting:

    • Manage learning activity evaluation reports and contribute to overall project reports, analyzing quantitative and qualitative data, and making recommendations for program revisions.

    • Build and maintain vendor and program scorecards.

    • Maintain Onboarding and Exit Survey Dashboards and provide insights.

    • Observe learning events (in-person, virtual, and hybrid) to strengthen evaluation activities and assure vendor excellence.

    • Communicate evaluation timelines and deliverables clearly to team members and stakeholders.

    • Stay current on innovative learning theories and methodologies, proposing integration of new approaches as appropriate.



  • Operational Excellence Functions:

    • Responsible for the administration and management of multiple technology solutions for the enterprise, including managing LMS requests, uploading and updating learning items, testing, maintenance, analytics and reporting of learning systems, Degreed (LXP) and Saba (LMS).

    • Manage LTOD, Alumni, and other mailboxes (CRM Tickets) by providing level 1 support, triaging requests, and responding with clear guidance.

    • Identify learning opportunities for requestors and facilitate sessions on frequently identified issues to reduce future CRM Tickets.

    • Support the creation and enhancement of learning opportunities across teams and programs and contribute to the development of training collateral.

    • Coordinate internal campaigns to raise awareness of new technical capabilities and their application on client engagements.



  • Learner Experience:

    • Create and administer evaluations in SurveyMonkey.

    • Support matching for the Ambassador Program in the Mentoring Platform.

    • Manage the Communication Platform and monitor content and interactions within various Networks and groups.

    • Create Microsoft Teams for various programs and utilize Workday for Onboarding, Offboarding, Career Development, and Performance Management.

    • Maintain up-to-date internal SharePoint pages.



  • Culture & Engagement:

    • Champion a culture of continuous learning and development across the organization, promoting engagement and employee growth opportunities.

    • Perform other duties as assigned.

Education/Experience Requirements:


  • Bachelor’s Degree or equivalent in Human Resources (HR) field, Training and Development, I/O Psychology, Project Management, or related field.

  • Minimum of five (5) years of experience in the training and development functional area; or an equivalent combination of education and experience.

  • Proven experience in operational support, project management, or a similar role.

  • Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.

  • Excellent communication and interpersonal skills, a passion for facilitation.

  • Detail-oriented with a focus on process improvement and efficiency.

  • Ability to work independently and as part of a team in a fast-paced environment.

Preferred Qualifications:


  • Experience in supporting learning and development initiatives.

  • Familiarity with training administration, logistics, and data analytics.

  • Certification in project management or related fields is a plus.

Working Conditions:


  • Work is normally performed in a hybrid office environment. Intermittent overnight travel is required.

  • Work environment includes high productivity expectations and tight deadlines.

In addition to location, actual compensation is based on various factors, including but not limited to, the candidate’s skill set, level of experience, education, and internal peer compensation comparisons.

CA: Minimum Salary $91,500, Maximum Salary $170,900

CO/HI/MN/VT*: Minimum Salary $79,500, Maximum Salary $142,300

IL*: Minimum Salary $87,500, Maximum Salary $156,600
Jersey City, NJ/NY, NY: Minimum Salary $95,400, Maximum Salary $170,900

MD/Washington, DC: Minimum Salary $91,500, Maximum Salary $163,700
WA: Minimum Salary $79,500, Maximum Salary $163,700

*Including positions performed outside the state but reporting to an office or manager in that state.

Candidates can expect salary offers that range from the minimum to the mid-point of the salary range. FINRA provides full pay ranges so that the candidate can consider their growth potential while at FINRA.
