Position Summary:

We're seeking a meticulous and versatile Document Control / Production Clerk to play an essential role in our Copy/Imaging and Records Departments. Strong time management, prioritization, accuracy, efficiency, and organizational skills are crucial for success in this role. The ideal candidate is detail-oriented and thrives in a dynamic environment. This role is responsible for a range of tasks including copying, scanning, importing, indexing, printing, binding, assembling, sorting, and collating documents. This role will also ensure that electronic and physical records are stored accurately and in compliance with our firm's electronic filing policy. This individual will collaborate closely with attorneys, paralegals, and legal assistants to produce precise print and imaging specifications and will need to effectively manage both team-oriented and independent projects. Additionally, maintain the equipment in the Copy/Imaging Center and the multi-function devices (MFDs) throughout the office. In addition, this role will assist the Firm's medical malpractice group with duties such as issuing medical records requests, organization and indexing of medical records, updating status logs of various requests, and maintaining expert database.

Essential Job Functions:
  • Perform document production requests, including copy, scan, binding requests, as directed
  • Operate MFDs and other auxiliary equipment with advanced knowledge to train, troubleshoot, and perform basic maintenance and, if needed, schedule repairs with the vendor
  • Stock copy center with applicable supplies, including restocking paper in machines
  • Produce high-quality work to promote a reliable resource for effective delegation
  • Assist with preparing closing binders, which includes scanning, linking documents, creating physical binders, storing on flash drives, or storing in internal document management system for Attorneys
  • Assist with USPS or overnight mailouts (making copies, stuffing & labeling envelopes, and metering mail)
  • Inspect documents for quality control
  • Assist medical malpractice group with issuing medical records requests; organization and indexing of medical records; updating status logs of various requests
  • Communicate with records retrieval services and maintain medical records databases
  • Maintain expert database for the medical malpractice group, including issuing requests for prior expert testimony and indexing transcripts
  • Perform duties and special requests as assigned by the team leader, supervisor, and manager
  • Provide backup support to the Legal Support Department, as needed

Education and Qualifications:
  • High school diploma plus two years of relevant work experience in a comparable role required

  • Advance knowledge of MS Word, Excel, Outlook, PowerPoint, and Adobe Acrobat
  • Ability to operate and troubleshoot standard office equipment such as telephones, conferencing equipment, photocopiers, scanners, postage machines, etc.

Physical Demands:

While performing the duties of this job, the employee will be required to read from hard-copy paper and computer screen, sit, talk, hear, use wrist, hands, and fingers repetitively to type, write, operate computer and other office equipment/machinery, handle and grasp paper and other office objects. Additionally, the person in this position will remain in a stationary sitting position 90% of the time working on a computer; occasionally moving about our office to visit and meet with others and/or attend meetings, access file cabinets, use office machinery, etc., which will require bending and lifting of items less than 25 lbs. The typical office environment is of moderate noise level, an indoor temperate environment, and light levels that are bright and conducive to minimal eye strain. Little to no travel is expected for this position.
