POSITION

The Development Administrator (DA) reports to the Chief Development Officer (CDO) and provides administrative support for the entire development team on development pipeline execution and direct administrative support to senior development staff. This position thrives on supporting team members, organization, attention to detail, and working behind the scenes to execute larger department-wide objectives. This is a critical position for someone who is passionate about administrative functions and recognizes opportunities to create organizational efficiencies and facilitate intra and inter-departmental communication.

JOB RESPONSIBILITIES
  • Support the Chief Development Officer and/or President(s) of Development with daily functions; including but not limited to managing calendar appointments, phone calls, and prepping documents for signature
  • Manage electronic filing system
  • Maintain online project tracking and project management systems
  • Manage project schedules and deadline coordination for the project development teams
  • Provide administrative support to development team on multiple projects in various stages of development
  • Coordination with marketing and development project leads on event planning for ground breakings, ribbon cuttings, etc.
  • Manage development team registrations and travel arrangements for conferences, events and trainings
  • Mailings & data entry
  • Occasional delivery/pick-up of documents, application materials, etc.
  • Coordinate monthly development team supply orders
  • Demonstrate competent research and analytical skills to help innovate and seek process and quality improvements
  • Provide support for the formation of new legal entities for organizational structuring and tax compliance
  • Prepare documents for recording
  • Lead annual CRA tax abatement reporting
  • Prepare invoices/ACH requests relating to funding applications, due diligence, etc.
  • Update periodic development reporting requirements to support development and inter-departmental communication
  • Coordinate and support in-house staff training, lunch-and-learns, other departmental events, etc.

PREFERRED QUALIFICATIONS, EDUCATION AND EXPERIENCE
  • Bachelor's degree
  • Experience as an executive assistant, office manager, or other administrative role
  • Specific experience in paralegal industry, real estate, or grant writing
  • Public Notary commission or desire to become a Notary
  • Excellent Microsoft Office Suite skills
  • Excellent written and verbal communication skills
  • Experience with graphics software
  • Self-motivated individual with ability to adapt to new technology
  • Demonstrate an interest in developing a growing knowledge of all aspects of real estate development
  • Highly organized, detail-oriented, and skilled at following up and through with tasks
  • Enthusiasm and desire to join a team dedicated to positively transforming our urban communities
  • Willingness to work in office five days a week
