JOB SUMMARY/OBJECTIVE:

The Intake Specialist is responsible for managing the initial contact process for clients or patients seeking services, ensuring a smooth and efficient intake process. This role involves gathering necessary information, assessing client needs, and coordinating with relevant departments to facilitate service delivery. With a focus on accuracy and customer service, the Intake Specialist significantly contributes to optimizing patient flow and enhancing the overall patient experience.

PRIMARY RESPONSIBILITIES:

  • Serve as the first point of contact for clients or patients seeking services, providing a welcoming and professional experience.
  • Conduct initial assessments to determine client needs and eligibility for services.
  • Collect and verify personal, medical, or financial information required for service provision.
  • Ensure accurate and complete documentation of client information in compliance with organizational policies and legal requirements.
  • Coordinate with internal departments and external agencies to facilitate the next steps in the service delivery process.
  • Refer clients to appropriate services or specialists based on their needs and eligibility.
  • Maintain and update client records, ensuring data accuracy and confidentiality.
  • Enter and manage information in electronic health records (EHR) or other database systems.
  • Provide clients with information about available services, programs, and resources.
  • Assist clients with completing necessary paperwork and navigating the intake process.
  • Ensure adherence to organizational policies, legal regulations, and privacy laws (e.g., HIPAA).
  • Monitor and ensure compliance with relevant standards and guidelines during the intake process.
  • Monitor and evaluate the effectiveness of the intake process, making recommendations for improvements.
  • Address and resolve any issues or concerns related to the intake process.

MINIMUM QUALIFICATIONS:

  • Strong interpersonal skills with the ability to communicate effectively with clients, families, and professionals.
  • Ability to manage multiple tasks, maintain accurate records, and handle a high volume of client interactions.
  • High level of accuracy in data entry, documentation, and information verification.
  • Strong analytical skills to assess client needs, address issues, and identify appropriate solutions.
  • Proficiency with office software (e.g., Microsoft Office Suite) and experience with EHR or other database systems.
  • Commitment to maintaining client confidentiality and adhering to privacy laws and regulations.
  • Ability to provide supportive and empathetic assistance to clients during the intake process.
  • Flexibility to adapt to changing client needs and organizational priorities.
  • Excellent verbal and written communication skills for interacting with clients and documenting information accurately.

REQUIRED EDUCATION & EXPERIENCE:

  • High School diploma or equivalent.
  • Minimum of one (1) year of experience in intake, customer service, or healthcare administration, preferably in a healthcare or social services setting.

PREFERRED:

  • Associate or bachelor’s degree in healthcare administration, social services, business administration, or related field.
  • Familiarity with healthcare terminology, procedures, and privacy regulations while working in a healthcare environment.
  • Certification in healthcare administration or related fields (e.g., Certified Medical Administrative Assistant (CMAA)).
  • Experience working with specific client populations (e.g., mental health, addiction services, or elderly care).
