Customer Service, Calendaring, and Source Document Intake Tasks:
The ideal candidate's kind, patient, and friendly demeanor will allow our firm to deliver an outstanding client experience from first contact with all new callers
The ideal highly organized, detail-oriented candidate will have strong written and verbal communication skills and will be proficient with Excel, and with assisting clients with uploading documents to the MyCase client portal during the enrollment process
The ideal candidate will create synergy with referral partners, enroll prospective clients, and help create a smooth workflow experience for existing clients whose projects are moving through the firm's estate planning process
Calendar and enroll prospective new clients into weekly educational estate planning workshops using MyCase and Outlook
Convert weekly workshop attendees into initial or vision meetings for attorneys to be retained and track expected revenue from appointment calendar
Track conversion rates required to meet firm project completion goals on a weekly, monthly, and annual basis
Follow-up on all no-show or cancelled appointments to ensure they are rescheduled timely
Manage and coordinate all client interactions to ensure clients experience exceeds expectations, improves satisfaction and loyalty, and maintains law firm reputation in the community
Establish firm referral goals from each referral source type and work with law firm team and marketing to build a strong referral base in the community
Professional Skills and Abilities:
Highly developed time management, organizational and prioritization skills with the ability to multi task with clarity; facilitating several projects at the same time with the ability to work independently or with a team
Professional level communication, interpersonal and relationship building skills. Able to listen (give full attention to what potential and exiting clients are saying), be empathetic, and influence other people in written or verbal forms.
Demonstrate aptitude for working in sensitive environments requiring a high degree of confidentiality and maintain confidentiality of client information
Manage and complete tasks and projects and ensure deadlines requested by Supervisor are met
Assist client with initial preparation of their trust funding or estate inventory asset list on Excel
Type proficiently and accurately at a minimum of 35 to 40 wpm
Skilled at formatting and communicating effectively in writing as appropriate for the needs of the audience
Attention to detail and accuracy in transcribing information
Familiarity with phone etiquette in a professional setting
Education and Licenses:
Bachelor of Arts or AA Degree with paralegal certification preferred
Notary Public License - active, including DocuSign e-sign endorsement preferred
A minimum of 2-3 years sales, client enrollment, or marketing experience required
Technology and Systems Knowledge and Abilities:
DocuSign electronic Notary and Notary License, preferred
Zoom, MS Teams, online conferencing systems, preferred
MyCase and client portal, Actionstep and Hot docs software, preferred
Proficient in Excel, Outlook, Adobe, and Microsoft Office365, required
Adept in office equipment including digital phone system, scanner, copier, fax

Pay: $58,000.00 - $65,000.00 per year
