JOB SUMMARY

As an operations support team member you will contribute to processing and delivering of company incoming and outgoing mail in accordance with established guidelines. Team members perform and rotate duties required for completing daily mail operations. Additional duties such as batching and scanning documents, routine data entry and completing publication requests are also a part of this role

ESSENTIAL FUNCTIONS


  • Processes incoming and outgoing mail including opening, sorting, date stamping, reviewing, researching and preparing documents for imaging and batching

  • Processes and may deliver UPS and FedEx packages

  • Processes certified and overnight mail

  • Reviews, researches and codes incoming electronic documents

  • Organizes a variety of document types into batches for scanning

  • Scans batched documents and reviews for quality to identify acceptable and unacceptable images

  • Indexes, verifies and releases documents into PERA document system for retrieval

  • Responsible for preparing and mailing publication order requests

  • Boxes and labels original documents for confidential destruction

  • Monitors form and publication inventory and orders new stock as needed

  • Prepares and mails outgoing correspondence for several divisions

  • Schedules pickups with mail courier as needed

  • Cross-trains in several functional areas to provide backup as needed

  • Participates in training and educational opportunities for ongoing professional development

  • Maintains regular and prompt attendance in the workplace

  • Carries out other duties as assigned

QUALIFICATIONS


  • High school diploma or education equivalent

  • Basic proficiency using Microsoft Office suite

  • Detail oriented with effective organization and time management skills

  • Knowledge of proper English usage, spelling, grammar, and punctuation

  • Aptitude for consistent routine and repetitive tasks

  • Ability to comprehend established guidelines and confidence to take initiative in a team-focused environment

  • Ability to process multiple detailed workloads

WORKING CONDITIONS


  • Standard office environment with constant computer operation, and other office productivity machinery, such as a copy and printer machine.

  • Long periods of time in a stationary position

  • Frequent positioning or moving materials weighing in excess of 25 pounds
