The University of Iowa Health Care department of Safety and Security is seeking an Administrative Services Coordinator to perform and coordinate administrative work such as examining and evaluating data requiring a knowledge of both assigned and related work areas.
The successful candidate must be highly organized, have strong communication skills, be a team player and be willing to assure all functions are completed in timely and professional manner. This person is required to manage multiple priorities and have strong problem-solving skills.
Duties include:
Operational Support and Management:
Support the daily operations of the Safety and Security office including coordination of specialized events and activities, monitoring appropriateness of expenditures, and change policies and procedures.
Make decisions and exercise a moderate level of autonomy while typically performing administrative support/management responsibilities for the Safety and Security Director and administrative staff including managing schedules, correspondence, and travel arrangements.
Assist in coordination/preparation of strategic plans in support of the Director, Associate Director and Safety Manager by establishing guidelines, reminding contributors, proof, read, and edit.
Maintains effective working relationships with internal staff and our customers.
Performs other duties as assigned.
Information Management/Communications Management:
Serves as a contact for Safety and Security, responds to inquiries, maintains records for key and door access.
Serves as liaison for inquiries regarding interpretation of policies and procedures.
Prepares and administers correspondence and maintains records (meeting minutes, reports, etc.) in an organized manner for easy retrieval to document Program development and events.
Compile data and reports for department or institutional meetings.
Maintain records/policies and procedures on our shared drive and intranet.
Assists in coordination of reports, as well as other documents
Utilize Tableau and MS Office Suite programs such as Outlook, Word, Power Point, and Excel for data and communications.
Prepare and administer correspondence.
May coordinate events within the scope of the department
Financial Responsibility:
Initiate purchasing requests for supplies and equipment.
Assists in monitoring accounts/expenditures and reviewing financial statements.
Strategic Planning:
Assist in the coordination of strategic plans in support of department leadership.
Human Resources:
May provide functional and/or administrative supervision of staff.
Percent of Time: Full-time
Schedule: Some flexibility between the hours of 7:00 am and 5:00 pm, Monday through Friday
Regular salaried position located in Iowa City, Iowa

Required Qualifications
A Bachelor's degree, or equivalent combination of education and experience
Demonstrated experience utilizing computer software applications (ex. Microsoft Office Suite (including Outlook, Word, Power Point and Excel)
Excellent written and oral communication skills
Demonstrated ability to manage multiple concurrent objectives, projects, or activities, making effective judgments as to prioritizing and time allotment
Demonstrated high attention to detail and problem-solving skills
Desirable Qualifications
Experience utilizing Tableau and/or Excel for reporting
Knowledge of University accounting/purchasing policy, procedures, and systems
Experience with ELMS Scheduling
Experience working in a health care setting
6 Months' experience in customer service or client/patient relations
