Job Description:

SUMMARY: Responsible for providing support to the assigned department by performing a wide range of administrative tasks.

GENERAL RESPONSIBILITIES:


  • Audit and Organize Human Resources Files

    • Review and correct employee files to ensure they are properly organized and in compliance with local and federal laws, particularly regarding required documentation such as I-9 forms.

  • Administrative Support

    • Handle employee requests for employment verification.
    • Manage work files and assist in digitizing all physical employee records to improve long-term accessibility and ensure proper record retention.

  • Policy Documentation

    • Ensure that all necessary policies are in place, properly documented, and regularly updated to meet legal and organizational requirements.

  • Compliance with Local and Federal Laws

    • Verify that the company follows local, state, and federal laws, particularly in relation to record keeping and documentation practices.
    • Examples of areas requiring compliance include:


      • I-9 Verification : Ensure all employee documentation is in accordance with federal law, which mandates that all employers in the U.S. complete Form I-9, Employment Eligibility Verification for each employee. This form verifies both the employee's identity and employment authorization.

      • Workplace Violence Training : Verify that all mandated training, such as Workplace Violence prevention, is completed annually or as needed.

      • Family and Medical Leave Act (FMLA) : Ensure the proper handling of documentation and processes related to FMLA requests and approvals.

    EDUCATION: High school diploma or equivalent. A bachelor's degree in human resources, Business Administration, or a related field is preferred but not mandatory.

    EXPERIENCE: Minimum 2 years of previous experience in Human Resources, Labor Relations, or related administrative roles with a strong focus on compliance and record management. Familiarity with labor laws (federal and local) and compliance requirements, especially regarding employment verification (I-9 forms), workplace safety policies, and employee leave processes (e.g., FMLA). Knowledge of record retention laws and best practices for document organization and digitization.

    TECHNICAL PROFICIENCY: Proficiency in office software (MS Office, document management systems) and familiarity with digital filing systems.

    COMPETENCIES: Ability to communicate effective verbally and in writing. Ability to establish and maintain effective working relationships. Ability to demonstrate effective customer service skills. Ability to prioritize, organize and perform multiple work assignments simultaneously while meeting assigned deadlines. Ability to perform accurately in a detail oriented environment. Ability to gather, interpret, report and use data and other information concerning assigned activities. Ability to function effectively with or as part of a team. Skill in preparing clear and concise documents, including but not limited to reports, procedures, correspondences and other written materials. Knowledge of applicable computer applications and basic computer functions.

    OTHER: Bilingual (English/Spanish) required. Strong attention to detail and organizational skills. Ability to work independently and manage time effectively to meet deadlines.

    JOB SCOPE: Position impacts multiple business units/segments.

    WORKING CONDITIONS: Normal office environment with little exposure to excessive noise, dust, temperature and the like. Extended use of a computer keyboard, viewing of a computer monitor and the ability to sit for long periods of time.
