WHAT WE CAN ACHIEVE TOGETHER

The Philanthropy Campaign Administrator will provide direct administrative support to the Director of Philanthropy and the Senior Associate Director of Philanthropy for the Washington Business Unit.

The Philanthropy Campaign Administrator will be responsible for a variety of administrative support tasks, which include calendar management, processing expenses, drafting meeting agendas, scheduling/coordinating logistics of meetings/special events, and tracking action items from committee meetings. They will use available systems and resources to maintain, track and research data; develop and maintain campaign library; and produce or review reports for Philanthropy leadership. They will provide guidance in satisfying administrative requirements based on extensive knowledge of policies and procedures, as well as implement processes and practices to improve effectiveness. The Campaign Administrator will coordinate activities with multiple variables, set realistic deadlines and manage the timeline. They will communicate on behalf of supervisor with staff in various programs across TNC, as well as with donors, trustees, and campaign consultants. They will effectively communicate or distribute campaign materials and information to assist staff in making decisions, solving problems, and improving workflow.

They will perform administrative functions for the program, as required. In partnership with Washington Operations Team, they will provide administrative support for the Seattle office, including periodic front desk coverage. They will cross train with Philanthropy Operations staff to provide backup coverage for gift processing.

Work Environment & Schedule

  • This is a hybrid position based in Seattle, WA with the expectation of 2-3 days per week onsite at The Nature Conservancy's Seattle office.
  • The work schedule is typically a standard Monday - Friday, with some long and/or flexible hours as needed. Flexible work arrangements are available.
  • The position requires periodic travel throughout Washington State (including overnight) and the ability to support meetings and events at various sites throughout the state.
  • Onsite work is performed in a professional open-office environment and involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain. Meeting logistics require physical mobility and the ability to lift up to 25 lbs.

The ideal candidate should have exceptional communication and collaboration skills and experience providing administrative support to a director or multiple directors. This is an exciting opportunity to contribute to the Washington chapter 2030 Campaign, developing and implementing a plan to promote the campaign internally and among Washington trustees/volunteers.



WHAT YOU'LL BRING

  • Bachelor's degree and 2 years' experience or equivalent combination.
  • Experience working in a non-profit or similar setting.
  • Experience generating reports and interpreting data.
  • Experience with Constituent Relationship Management (CRM).
  • Experience organizing time and managing diverse activities to meet deadlines.
  • Experience working across teams and communicating with a wide range of people, both internal and external.

DESIRED QUALIFICATIONS

2+ years previous experience as Administrative Assistant, Executive Assistant, Volunteer Coordinator, or experience working in philanthropy. Experience working on a fundraising campaign appreciated.

  • Experience with database administration and spreadsheet software, including managing and tracking data.
  • Multi-lingual skills and multi-cultural or cross-cultural experiences are appreciated.
  • Ability to analyze information for the purpose of coordinating and planning activities and solving problems.
  • Strong organizational skills, accuracy, attention to detail, responsiveness, proficiency with managing multiple projects simultaneously.
  • Ability to use existing technology to achieve desired results.
  • Experience interpreting guidelines to achieve desired results.
  • Experience working with a board of directors, donors, volunteers, the public, and/or all levels of staff.

SALARY INFORMATION

The starting pay range for a candidate selected for this position is generally within the range of $65,000 - $72,000 annually ($35.71 - $39.56/hour) for annual base salary. This range only applies to candidates whose country of employment is the USA. Where a successful candidate's actual pay will fall within this range will be based on a variety of factors, including, for example, the candidate's location, qualifications, specific skills, and experience. Please note countries outside the USA would have a different pay range in the local currency based on the local labor market, and not tied to USA pay or ranges. Your geographic location will be confirmed during the recruitment.
