Description:

The Phone Operator will answer all calls coming into the Clinic on the main line. The Operator will accurately document calls from patients, physicians and others in the the correct electronic medical record, and route messages to the appropriate staff member.

Job Duties:

  • Answer and respond to calls from Workgroup/Queue (7700) in a timely and professional manner
  • Identify calls and messages that are of an emergent or urgent nature following the provided guidelines, and notify the appropriate staff member
  • Respond to all emails, voice mails and requests, in a timely and professional manner
  • Receive incoming calls in a professional and pleasant tone of voice; following the Quality Care Guidelines
  • Translate phone calls, emails and voice mail messages into written phone notes documented in the correct electronic health record
  • Record information provided accurately and completely, including telephone number, patient name and message details
  • Use correct grammar, spelling and punctuation in all correspondence, written and verbally
  • Route completed phone notes and live callers to the appropriate staff member in a timely manner, working quickly and efficiently to increase productivity
  • Assist with the Patient Portal as necessary
  • Maintain current knowledge of Clinic employees/roles and procedures/protocols
Requirements:

We are searching for a candidate who:

  • is able to communicate effectively, both oral and written, with excellent listening skills and the ability to speak clearly
  • has good time management with the ability to manage workflow and prioritize demands
  • has excellent interpersonal skills and can manage difficult or emotional patient situations
  • will provide excellent customer service while maintaining a high level of confidentiality and discretion

This position requires a high school diploma or equivalent and strong customer service experience/focus. Experience in the healthcare field and heavy telephone usage are preferred, and bilingual in Spanish is a plus.

The candidate must be proficient in Microsoft Outlook, Internet software, electronic medical records and practice management software. Organizational skills with attention to detail is required.
