AA&D is comprised of the University Development Office (UDO), Faculty of Arts and Sciences (FAS) Development, AA&D Resources, the Harvard Alumni Association (HAA), and the Office of the Vice President (OVP).

This position will sit within the Academic and Donor Engagement (ADE) team and report to the Director of Development. This position is responsible for providing administrative support to the ADE team through the handling of expenses, travel booking, and scheduling; while also assisting in committee membership maintenance and updating the team's intranet pages and internal tracking of activities.

Position Description

  • Schedules meetings for Director of Development and general team meetings. Updates Director on all schedule changes, anticipates and resolves scheduling conflicts and proactively reviews calendar to ensure key deadlines can be met.
  • Manages expense reporting for ADE team, including the creation and submission of all expense reports related to faculty and decanal travel and development activity. Serves as team's main contact with finance office and acts as a resource to the team for policies, protocols, and procedures.
  • Supports the Director in various administrative tasks related to team management including preparing agendas and materials for team meetings, data reporting for senior management, and annual planning.
  • Maintains the ADE activity tracker ensuring all meetings, trips, and events are recorded accurately. Provides regular activity updates and data reports to the Director and members of the FAS Management Team.
  • Coordinates with the FAS Academic offices to schedule regular development strategy meetings with the FAS Divisional Deans that partner with ADE.
  • Works with the Senior Associate Director, Leadership Engagement to maintain Major Gift Committee membership including pulling lists and gathering feedback from fundraisers as part of the annual membership review process.
  • Gathers ADE team updates for the monthly FAS staff newsletter.
  • Maintains the ADE SOURCE page and posts FAS administrator travel to the AA&D SOURCE calendar ensuring information is regularly updated.
  • Regularly manages updates to the alumni/donor database including committee membership, future visits, and contact reports.
  • Conducts outreach to prospects and volunteers for faculty and administrator meetings.
  • Coordinates travel arrangements for faculty including booking travel, car service and accommodations; creating trip itineraries including event schedules, confirming locations, and troubleshooting during travel days as needed.
  • Proofs and copyedits select briefings in support of members of the ADE team.
  • Build relationships and collaborates with other departmental teams including (but not limited to) the University Development Office, Harvard College Fund, Communications, Events, Donor Development, Finance, Resources and Planning, and the Harvard Alumni Association.
  • Participates in various team and staff meetings throughout the year and is an engaged member of the team.
  • Provides other job-related duties as required.


Basic Qualifications

  • 1 - 2 years of related office experience
  • Strong knowledge of Microsoft Office software
  • Strong writing skills and attention to detail.

  • Must be highly organized, detailed oriented and can work competently and efficiently in a multi-task environment.
  • Strong written and oral communication skills, including strong knowledge of English grammar, spelling and punctuation.
  • Ability to accurately proofread and edit correspondence, briefings and reports.
  • Strong interpersonal skills; excellent phone manner and personal presentation.
  • Ability to work under pressure, understand and follow policies and procedures, and accommodate change.
  • Ability to work independently as well as collaboratively on a team.
