The Office of Assessment, Culture, and Education (ACE) invites applications and nominations to fill the position of Project Coordinator. Reporting to the Associate Vice Chancellor, the Project Coordinator is responsible for ensuring the overall effectiveness and success of our events, programs, and services by leveraging project management best practices.


This position's purpose is to strategically align, conceptualize, and execute ACE events, programs, and services. This includes but is not limited to events, communication projects, assessment projects, commissions and council events, cultural immersion experiences, meetings, workshops, overnight retreats, conferences, etc. The project manager will help ensure our ACE happenings are mission focused and performance driven. Job responsibilities include, but are not limited to:




  • Project Management: In general, this position will provide project management support to all ACE program, services, and events. More specifically, this position will work on projects from start to finish. This means the project manager will regularly engage in the following processes: reviewing and co-creating project proposals, determining feasibility, creating or reviewing project budgets, negotiating contracts, tracking change requests, developing work schedules, timelines, and milestones, communication with stakeholders and project customers on project performance, making recommendations on project changes/adjustments/ improvements, designing and conducting training for our unit and our division. This position will work closely with all of our cultural immersion programs to ensure all of the logistics are in order and move smoothly through the planning process. This includes working on budget tracking, travel, lodging, the in-country itinerary, student selection, providing remote support while the trips are taking place, and supporting the post-cultural immersion experiences by working with the team to host our cultural immersion showcase, and assessing the overall effectiveness of the cultural immersion experiences we offer. Provide project management support to the following areas: assessment and evaluations team, communications and external relations team, commissions and councils, the L.E.A.D. Scholars Program, and our education initiatives. Program support includes, tracking tasks, discussing milestones, tracking budget, communicating with key stakeholders (both internally and externally), and ensuring that our planning efforts and budget allocations are in direct alignment with our ACE operation plan and the division’s strategic plan. Other event coordination/special projects duties as assigned.


  • Operational Effectiveness & Internal Communication: This position will have creative autonomy within the scope of our work in ACE. They will be responsible for creating efficient systems (i.e. flow charts, process maps, excel spreadsheets, project management software, and standard operating procedures) that will help ACE team members in planning, organizing, and implementing projects and events. This includes but is not limited to large-scale and small events, communication projects, assessment projects, commissions and council events, cultural immersion experiences, meetings, workshops, overnight retreats, conferences, etc. Create and maintain an ACE events calendar that is shared regularly with the team. To prevent overlap and duplication of efforts, this position will review and monitor ACE events, programs, services, meetings, seminars, or any activity that we have allocated resources towards. Help foster collaboration across our unit and division by hosting project coordinator meetings to discuss current projects, actively engaging in information sharing across our units so that we can capitalize on potential partnership opportunities, meeting with key stakeholders in our unit and division to discuss any issues or bottlenecks in our planning and/or communication process(es), and hosting meetings to ideate and create solutions for any identified reoccurring issues.




  • Professional Leadership: The project coordinator will provide thought leadership as we strive to ensure our strategic plan and operational plans are aligned with the university's strategic vision. Assist in managing ACE's operational efforts by serving on our strategic planning team, and by helping ACE directors create their respective operational plan. Lead project management best-practices training sessions for our unit, division (and occasionally university colleagues external to our division).



  • Other Duties As Assigned: This includes but is not limited to assisting with data reports for ACE, helping with budget modeling, supporting other areas of our division as needed.





Qualifications

Required Education and Experience

The candidate who fills the ACE Project Coordinator position is required to have:



  • Associates Degree

  • Minimum three years of relevant full-time experience working with complex events, services and/or programs that require effective collaboration and communication.

  • Experience managing multiple projects simultaneously

  • Excellent oral and written communications

  • Ability to handle multiple events at once, and adapt to variety of situations

  • Ability to meet strict deadlines


Preferred Education and Experience

In addition to meeting the required qualifications, the preferred candidate will have:



  • Bachelor’s Degree

  • Minimum of five years of relevant full-time experience.

  • In addition to the required experience, preference will be given to candidates who are adept in project management processes and are well-versed in project management software / project management tools.



Important Note: This position will be 90% remote work; however, the successful candidate must reside in a two-hour driving radius of the University of Tennessee Knoxville. The project manager will be expected to attend some on-campus meetings and events, and those dates will be shared in advance.
