POSITION SUMMARY


To provide a wide variety of highly responsible and complex testing duties related to onsite/offsite proctoring, processes, and training that requires a high level of discretion; to provide professional, effective, and efficient customer service assistance to students, faculty, college personnel, community members, testing vendors, and external stakeholders. Serves as primary support to Testing Services, Disability Services, Dual Credit, and District 525 high schools, their testing and accommodation needs, and related day-to-day operational details which involve high levels of organization and confidentiality. May be involved in the staffing, training, onboarding, and supervision of part-time testing employees. Considerable judgment, initiative, and independent action in establishing or adapting work procedures to new situations are required. Work requires knowledge of the policies and procedures within the department and college systems. Ability to travel to other campuses, centers, and offsite testing locations is required.




ESSENTIAL JOB DUTIES AND KEY RESPONSIBILITIES


1. Coordinate and proctor onsite and remote placement testing for local high schools. Maintain records of scheduled testing sessions, student rosters, and testing requests. Serve as primary point of contact for offsite placement testing proctoring, and complete related tasks.


2. Administer and proctor a variety of tests, while maintaining test security and confidentiality of all testing materials and results. Maintain testing documentation and materials, and complete data entry per Testing Services procedures.


3. Create, maintain, and submit placement reports as related to Testing, Dual Credit, Transition Courses, and other high school programs.


4. As related to placement testing for high school programs, assist Manager with coordinating day-to-day operations for Testing Services. Review office procedures and suggest necessary changes.


5. Triage testing questions, troubleshooting, test administration processes, and testing center related issues for all Testing Services Assistants. Assist the Manager with process improvement and external representation of Testing Services.


6. Serve as liaison for Disability Services and assist with proctoring and technical needs, including assistive technology, for students requiring testing accommodations. Collaborate with Disability Services to coordinate testing accommodations for JJC students, high school programs, offsite and remote testing, and community testers.


7. Provide exceptional customer service to all visitors including students, faculty, staff, and community members. Support the high schools and Disability Services in the coordination of offsite testing accommodations.


8. Assist with manual entry and batch upload of testing scores. Support Director and Manager with testing changes and updates, including all phases of testing, implementation, and communication.


9. Research, compile, and analyze information as necessary to assist with general and high school test administration decisions and reporting. Collect departmental documentation from staff.


10. Document complaints, inquiries, and other concerns, and propose solutions to promote a culture of continuous quality improvement.


11. Maintain test scheduling software, including student appointments, assigned testing accommodations, course information, testing site, and testing traffic to maximize testing opportunities while meeting student and community member testing needs.


12. Assist with the creation and maintenance of Testing Services procedures, policies, and compliance-related documentation/manuals. Keep abreast of testing developments related to testing operations and accommodations; applicable laws and regulations including but not limited to ADA and Section 504 of the Rehabilitation Act; as well as best practices pertaining to students with disabilities in higher education.


13. Participate in staff meetings, in-services, and trainings is required. Meet regularly with Testing Services and Disability Services staff to update testing procedures, student and staff communication, and trainings related to serving students with disabilities within testing centers.


14. Work collaboratively with other departments, District 525 high schools, and vendors. Represent Testing Services as requested by Director or Manager at JJC and high school events.


15. Assist with professional development and training of new/existing staff to ensure test administration consistency and compliance with National College Testing Association (NCTA) best practices and topics related to testing accommodations.


16. Assist with proctoring needs as needed and perform related duties as assigned.




MINIMUM QUALIFICATIONS


1. High school diploma or equivalent.


2. Three (3) years of progressively responsible office, administrative support, and/or training experience.


3. Two (2) years of related testing/monitoring experience.


4. Extensive personal computer skills and a thorough knowledge of several software applications including Microsoft Office, email, and Internet.


5. Attentiveness to detail, ability to enter data accurately, strong organizational skills, initiative, and multitasking ability.


6. Strong verbal and written communication skills, customer service skills, and ability and willingness to work cooperatively with a diverse population.


7. Ability to travel between campus locations and to community events. Ability to handle sensitive information with professionalism, discretion, and impartiality.


8. Ability to maintain confidentiality and abide by the Family Educational Rights and Privacy Act (FERPA) and the American with Disabilities Act privacy guidelines for data and information sharing.


9. Ability to establish and maintain cooperative and effective working relationships with other members of the college and community, displaying cultural competence as well as emotional intelligence.

PREFERRED QUALIFICATIONS


1. Associate's degree.


2. Experience working in a community college environment, specifically within testing and/or disability service areas.


3. Working knowledge of assistive technology. Experience with college student databases or Enterprise Planning Systems (ERP).


4. English and Spanish verbal and written communication proficiency.


5. Demonstrated multicultural competence.
