Position Title:

Medical Assistant Front Office


Position Summary:

Under general supervision of the Director for Student Health Services, the Medical Assistant performs a variety of general clerical and receptionist duties.


Essential Duties and Responsibilities :



  • Greet patients and visitors in a prompt, courteous and helpful manner and responds to routine requests for information;

  • Check in patients, gather and/or verify and update demographic and insurance data as necessary;

  • Participate in triage activities as needed, e.g., suspected cases of contagious infections, SARS, influenza outbreak, measles etc., through recognition of signs and symptoms, and redirecting patients to alternate "sick" waiting room;

  • Keep clinic staff abreast of patient arrivals and monitor waiting room to ensure that patients are processed as efficiently as possible;

  • Process student pre-entrance health booklets;

  • Set up approved student health insurance using office software;

  • Answer multi-line phones system promptly and in a courteous, helpful manner; identifying self, taking and distributing messages, and providing information for appointments and general information;

  • Provide for patient confidentiality, screen patients to determine the nature of the problem/reason for appointment in order to schedule patient to right clinic and medical provider;

  • Record reason for appointment in Medicat Xpress scheduling software;

  • Help patients to complete medical history forms and prepare patients for examinations and treatment by provider;

  • Perform height, weight, vital signs, urine and serum pregnancy tests and vision tests and records them in the medical record and report abnormal findings to provider;

  • Conduct test and procedures as directed, such as EKG's, oral HIV tests, venipunctures, spirometer, skin punctures, strep screens, hemoglobin, ear irrigations using appropriate instruments, techniques and specialized equipment.

  • Instruct patients and collect specimens, e.g., throat, wound, sputum, and urine cultures as directed; labels specimen container, complete appropriate laboratory requisition and forward to laboratory for analysis;

  • Dispose of contaminated supplies, clean, package and sterilize reusable supplies and instruments, as needed, using germacide solution and autoclave machine;

  • Maintain appointment schedule(s) for multiple medical staff and providers using Internet scheduling and appointment software;

  • Create, file and retrieve charts, archive deactivated charts of graduated students or students who have left the college;

  • Process requests for medical release of information from alumnae within 48 hours of request;

  • Enter patient data into files and automated database including immunization information on all first year, transfer, exchange, continuing education and guest students to create the electronic medical record;

  • Assist patients in completing all medical forms for each patient visit and direct questions to appropriate provider;

  • Keep patients apprised of reasons for any appointment delays;

  • Maintain work area and waiting area in a neat and orderly manner;

  • Maintain patient confidentiality while appropriately ascertaining the purpose of the patient's visit;

  • Alert staff to emergencies within the department using approved department emergency protocols.







Required Qualifications:

High school diploma or GED and three years experience in physician's office, outpatient clinic or Student Health Center where women's health care services were provided or equivalent combination of education and experience are required.


Experience in in-center laboratory testing, medication administration, performing clinical venipuncture, injections, vital signs and obtaining health histories, specifically from ob/gyn, family planning, or wormen's health patients is required. The incumbent must have basic knowledge of ICD-10 and CPT medical coding (International Classification of Diseases - 10th Revision Clinical Modification and Current Procedural Terminology). Must be knowledgeable of sterilization techniques of instruments, and possess the ability to positively interact and with students, faculty, staff and others, demonstrating exemplary customer service. Must understand medical terminology, specific to the gynecologic patient is a plus.Excellent interpersonal skills and the ability to handle stressful situations with tact and diplomacy are required. The incumbent must be able to handle multiple tasks simultaneously, show initiative, work in a team environment, and have knowledge of patient registration procedures, documentation, and clinical operations and procedures. The ability to operate multi-line phone system including intercom and overhead paging systems is essential.Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. The ability to write routine reports and correspondence is essential. Ability to speak effectively before groups of employees, students or other contacts is necessary.To perform this job successfully, an individual must have beginner skills using Microsoft Office Suite (Word, Excel, PowerPoint) which includes typing basic letters, memos, and e-mails, plus use Quest Laboratory Software, Medicat Xpress and MD hub.

Certifications, Licenses, Restrictions :

Successful completion of a Medical Assistant program accredited by the American Association of Medical. Assistants (AAMA) having obtained the "Certified Medical Assistant" credential.Must be CPR certified and have a thorough working knowledge of CLIA waived test and standards for operating a limited in-center laboratory.Maintains continuing educational certification per Health Services standards.


Physical Demands:

While performing the duties of this job, the employee is regularly required to: stand, walk, use hands and fingers to handle medical equipment and computer, reach with hands and arms, and talk and hear. The employee is frequently required to: sit, stoop, and smell. The employee is occasionally required to: lift and/or move up to 15 pounds with assistance. Specific vision abilities required by this job include close vision.
