Position Summary

The Registrar directs and coordinates registration activities of the college and maintains student records as required by accrediting agencies, federal and state regulations and institutional policies and procedures.


Salary Schedule: Appropriate placement based on experience C3 01 ( $60,583-$103,055)



Under Alabama Act 2024-360 and revised ACCS Policy 204.01-Appointment of Local Administrative Staff, employment in any executive and administrative management position will be governed solely by the terms of a contract. Non-probationary/tenure status cannot be achieved or maintained under the Student's First Act.

Essential Duties and Responsibilities


ESSENTIAL JOB FUNCTIONS:


  • Establishes, maintains, and safeguards the permanent academic records of students.

  • Assists in the organization and facilitation of student registration each term.

  • Facilitates the creation and maintenance of student degree plans as designed by the Instructional Services division.

  • Assists with evaluating transcripts for transfer credit in accordance with state and institutional guidelines.

  • Coordinates dissemination of procedures to obtain transcripts and issue transcripts.

  • Processes student enrollments, terminations/withdrawals, re-enrollments, and schedule changes.

  • Utilizes Ellucian Banner and other administrative software for comprehensive records management, report generation and dissemination.

  • Certifies enrollment status of students and students' eligibility for graduation and honors.

  • Assists faculty and other college personnel in utilizing administrative software and accessing student records.

  • Assists with the preparation of statistical reports on enrollment and graduation.

  • Maintains knowledge of policies, procedures and regulations associated with the Registrar function.

  • Supervises the activities and priorities of records professionals while monitoring results and conducting audits to ensure the achievement of targets.

  • Researches, assembles, and summarizes data relative to trends including preparing, presenting reports and recommendations for improvement

  • Supervises, trains, monitors and evaluates the work of staff to ensure compliance and accuracy with all state and federal policies and regulations.

  • Maintains current knowledge of regulations, policies, application requirements and eligibility for Admissions.

  • Serves as the college authority for the Family Educational Rights and Privacy Act (FERPA) ensuring college compliance with records security access.

  • Serves on college committees as assigned.

  • Performs other job related duties as assigned.
  • The Registrar will be expected to work a flexible schedule which may include day, evening, night and weekend hours.     REQUIRED EDUCATION, STANDARDS, AND TRAINING:


  • Bachelor's Degree from a regionally accredited institution

  • Three years of professional work experience in a Registrar's Office in an institution of higher education

  • Knowledge and skill in the use of integrated software systems (ERPs such as Ellucian, Alliant Data Systems, Banner, PeopleSoft, Etc.) and Microsoft Office applications

  • PREFERRED QUALIFICATIONS


  • Master's Degree from a regionally accredited institution

  • Supervisory experience in one or more of the essential functions of the position.

  • Comprehensive knowledge of institutional policies and procedures;
