DoubleTree by Hilton Hotel Chicago Magnificent Mile is looking to welcome a Rooms Coordinator to join our Sales team!
Tucked between Magnificent Mile shopping and Navy Pier attractions, our location makes exploring Chicago easy. We're a 10-minute walk from 360 CHICAGO, Millennium Park, and the CTA Red Line. The Ideal Candidate would have Previous Reservations, Hilton, Front Desk, and/or OnQ experience. At least 1-2 years working in the hotel.

Shift Pattern: Monday - Friday (8:30am-5:00pm)

Pay Rate: $26.00-$28.00 per hour based on experience

What will I be doing?

As a Rooms Coordinator, you provide efficient operation of in-house reservations through the selling of guest rooms and maximization of revenues.


  • Process and handle group rooming lists, standard reservations, VIP's, site visits, group billing setup and employee reservations by inputting data into OnQ. Build and monitor group inventory in R&I and maintain each group folder with complete and detailed information. The position requires frequent interaction with the group contact and/or housing companies on a daily basis and making sure the perimeters of each group contract are met. When required, the designated Group Rooms Coordinator will meet with the client in person to discuss their group and billing and will be present at any precons that are scheduled.
  • Inputting/downloading rooming lists, coordinating rooms for VIP's, inputting all group routing and group notes, assigning suites, and monitoring housing bureaus, assigning comp units and contract concessions.
  • Processing and answering emails from Sales, Meetings and Conventions, outside contacts and guests. Most consist of rooming list changes, reservation requests, VIP reservations, group inventory or contract changes or questions and special billing requests.
  • Building group SRPs in R&I, monitoring group inventory, adjusting group inventory according to their pickup flow and pace, building group maters in OnQ, setting and/or approving overbooking for groups based on overall hotel and occupancy, approving or denying extending cut off dates for groups.
  • Answering phone calls, voicemail and returning phone calls from Sales, Meetings and Conventions, clients, individual guests, housing companies, and HRW.
  • Making reservations for our national and local business accounts and approving extending discounts to individuals based upon hotel occupancy and pace.
  • Lead distribution to Sales Managers
  • Support the group's reporting as directed by manager, to ensure everything is organized, correct, and ready for the clients.
  • E-mail correspondence directed by managers as needed.
  • Answer telephone and assist internal and external guests with requests
  • Assist the Sales Managers upon request to conduct site inspections with potential customers, visiting guest rooms, meeting space and banquet facilities, as well as other hotel facilities.
  • Lead distribution to Sales Managers
  • Sales support reporting as directed by Manager
  • Balancing Hotel inventory, assigning rooms and managing VIP's
  • Reservation liaison for the Hilton Grand Vacations transient account
