Job Summary:

The Medical Assisting Training Programs Administrator is a licensed nurse or certified medical assistant who oversees and coordinates all aspects of the medical assisting certification programs offered by the Wellstar Medical Group (WMG), including but not limited to the CMA Trainee and Non-Certified to Certified MA Programs. The Administrator is a member of the Chief Nursing Officer's administrative and education team, partnering with Operations, Talent Acquisition and Human Resources to create a center of excellence for the advancement of qualified individuals to the role of Certified Medical Assistant.
The key responsibilities of this role include administration and coordination of CMA pipeline programs, curriculum development and delivery of program content to a diverse group of adult learners and learning styles, inter-departmental collaboration and coordination, and the reporting of outcomes to support program goals and objectives.



Core Responsibilities and Essential Functions:



CMA Trainee Program Administration and Coordination
Partners with Talent Acquisition and nursing leadership to lead the interview process and selection of qualified candidates into the CMA Trainee Program.
Coordinates clinic placement of CMA Trainees with nursing and operational leadership.
Serves as the point person for all program questions and concerns.
Maintains strong and collaborative relationships with clinic leaders for optimal student support while enrolled in the program.
Maintains cohort metrics including number of enrollees, student attrition, exam pass rate, and graduate retention.
Maintains all program documents and presentations and markets the program for continual expansion.
Manages and supports all part-time and PRN program faculty; completes evaluation of and observation of faculty; participates in training of all newly hired faculty.


Curriculum Development and Instruction
Responsible for the ongoing development, implementation, and instruction of the Clinical Medical Assisting program.
Develops and maintains an accelerated, high quality clinical medical assisting program curriculum and course materials, including course outline, syllabi, assessment tools, and prepares lesson plans for weekly instruction. Ensures alignment with program objectives and industry standards.
Develops and delivers engaging and informative lectures, presentations, and hands-on training sessions covering various aspects of medical assisting, including clinical procedures, administrative tasks, and general patient care.
Prepares students to take the Certified Clinical Medical Assistant (CCMA) national examination.
Orders and maintains inventory of office and medical supplies used for student learning.
Maintains classroom and simulation laboratory organization and cleanliness.
Evaluates student performance through assignments, quizzes, exams, and practical assessments, providing constructive feedback to foster continuous improvement.
Maintains student attendance and grade records and communicates progress to clinic leadership. Escalates and collaborates with management to report and resolve student issues and concerns.
Provides individualized support and guidance to students, including mentoring, advising, and facilitating learning activities both inside and outside the classroom.


Non-Certified MA Program Coordination
Supports newly hired non-certified medical assistants through the online certification process.
Serves as the point person for all program questions and concerns.
Proctors NHA certification exam.
Maintains program documents and toolkit.


Teamwork and Collaboration
Establishes partnerships by employing strong relationship building skills with all WMG leaders.
Works collaboratively with other departments to foster interdisciplinary teamwork, and leads multidisciplinary teams to develop, implement and promote a center of excellence for medical assisting instruction and career development.
Participates in WMG or system committees and workgroups.


Professional Development
Remains current with developments in the field of medical assisting, incorporating new technologies, procedures, and best practices into the curriculum as appropriate.
Seeks opportunities for self to grow professionally and advance knowledge in area of expertise.
Represents the organization positively to the community, building credibility and willingness to serve on committees and taskforces as needed to share knowledge and skill.


Performs other duties as assigned


Complies with all Wellstar Health System policies, standards of work, and code of conduct.



Required Minimum Education:



  • High School Diploma General or Diploma (Nurse) Nursing or Other / Certificate Medical Assisting or Bachelors Education-Preferred





Required Minimum License(s) and Certification(s):



All certifications are required upon hire unless otherwise stated.


  • Basic Life Support or Reg Nurse (Single State) or RN - Multi-state Compact or Lic Practical Nurse or Cert Medical Assistant





Required Minimum Experience:



Minimum 3 years of experience as a licensed nurse and/or medical assistant in a healthcare setting Required and
Minimum 2 years of experience as an instructor at the post-secondary level, with responsibility for designing and maintaining curriculum, preferably in the field of clinical medical assisting Required and
Minimum 1 year of experience working in a physician practice setting Required
