Exciting opportunity to lead all operational aspects of the Caldera Springs Owners' Association and maintain the value and lifestyle of the Caldera Springs Community, located in Sunriver, the heart of Central Oregon, and 15 miles south of Bend. The General Manager fosters an approachable, responsive relationship with and between the Board of Directors, Owners, Staff, Guests, and Vendors.

SUMMARY

The CSOA General Manager is responsible for managing all aspects of the Caldera Springs Owners' Association and the Caldera Springs Cabin Owners' Association. The General Manager will provide leadership and guidance to Association Administration, Design Review and Staff to ensure successful day-to-day operation of the CSOA including Community Compliance, Quarry Pool and Fitness Center, Lakes, Parks, and Roads.

Reporting to the CSOA Board President, the General Manager plans, directs, recommends, and implements policies and procedures to ensure the services required to maintain the common elements of the Association are provided in accordance with the community's CC& R's, rules and regulations.

ESSENTIAL POSITION RESPONSIBILITIES
  • The General Manager performs all responsibilities while demonstrating outstanding customer service skills and partnering with internal and external customers to ensure cohesive and consistent administration.
  • Supervises hiring and management of direct employees and supervises selection and management of outside vendor staffing to assure personnel capable of meeting the community's goals and high standards in a hospitable, sensitive and courteous manner. Reviews and approves payrolls for all direct employees and reviews and codes vendor invoices before payment.
  • Schedules and/or reviews staff assignments to assure adequate coverage while being conscious of working within the assigned budget. Ensures that team members follow all safety precautions and procedures while performing duties.
  • Works in partnership with the Resort's Director of Facilities and Grounds to ensure community maintenance of all common areas including, roads, lakes, parks, landscaping, buildings and equipment. Inspects common areas regularly and provides direction to staff and contractors as needed. Ensures ongoing maintenance of Quarry facility operations, including pool/spa and fitness center equipment.
  • Oversees the completion of seasonal inspections of all properties for compliance with Firewise/Landscaping Design Guidelines, with an emphasis on wildfire fuels, and reviews home exteriors to ensure conformance with community standards. Follows up with compliance letters as needed.
  • Maintains Association insurance coverage in accordance with CC & R's; prepares reports and insurance claims for damages to Association property, including estimated cost of repair, and causes repairs to be made in accordance with the Board of Directors' approval.
  • Promptly investigates and makes a full written report of all accidents or claims for property damage and personal injury relating to the ownership and maintenance of the common elements and operation of the Association, including damage or destruction to common elements.
  • Prepares posting of the agenda for meetings of the Association and committee meetings, supervises file and record management and attends meetings of the Board of Directors and Annual and Special Meetings; prepares minutes of said meetings.
  • In conjunction with the Board of Directors, creates and implements the annual association operating and reserve budgets; ensures the preparation of monthly financial reports and reviews same for accuracy and variance trends.
  • Prepares recommendations for collection action on delinquent accounts and acts as liaison with CPA, Association Counsel, and the Board.
  • Provides management reports to the Board of Directors with recommendations, as appropriate, to enhance community values and provide input as to community compliance and solutions.
  • Maintains a professional relationship with the Board of Directors and homeowners, whose requests for services shall be received and recorded so that requests can be acted upon expeditiously; any serious complaints shall be fully and promptly investigated and reported to the Board of Directors.
  • Maintains the Association master database and Rental ID Card Program; facilitates the onboarding of new owners to the community.
  • Communicates to the community ideas to help it prepare and cope with weather related events, including assisting with fire danger and implementation of preparedness protocols as designed and approved.
  • Ensures the Association's website is current and maintained.
  • Understands and commits to the GM position being on call 24-hours a day, 7 days a week for emergency consultation in the event of incidents requiring management intervention.

QUALIFICATIONS
  • Outstanding customer service, communication and interpersonal skills; effective written
    and verbal communication skills.
  • Minimum three years community association management experience and CMCA
    accreditation required; PCAM and LSM preferred.
  • Prior hospitability experience preferred.
  • Advanced command of computer hardware/software skills; specifically, knowledge of
  • Microsoft Windows, Word, Excel, Power Point and Outlook.
  • Ability to work extended hours and weekends based on need.
  • Ability to respond to emergencies in a timely manner, 24-7.
  • Ability to lift up to 20 lbs.; work in an upright standing or sitting position for long periods of
    time; handle, grasp and lift objects and packages; extensive use of fingers for typing and
    visual use of the computer monitor.
