OR Materials Coordinator at Huggins Hospital in WOLFEBORO, New Hampshire

Job Description:

Under the immediate supervision of the Materials Manager, and working collaboratively with the Surgical Services Team and Director, is responsible for assisting with all duties related to the functions of the Purchasing, Receiving, OR Stockroom, Supply, and maintenance of the goods and equipment for Surgical Services core inventory, and the Huggins Hospital system.

Responsibilities:

Oversight of the ordering and management of OR's Core inventory:

  • Responsible and accountable for inventory control with cost efficiency.
  • Maintain an adequate inventory of supplies in OR Core, while not over inventorying.
  • In collaboration with MM staff, oversees and maintains the integrity of MMIS dictionaries as it pertains to OR Core inventory.
  • Analyze and track materials usage as it pertains to Max / Min levels.
  • Work with Surgical Services management and staff for patient safety and quality improvement.
  • Run daily inventory reports as needed/required.
  • Know and utilize applicable functions of the MMIS in the performance of daily duties.
  • Assist updating Surgeon Preference cards as needed.

  • Inventory:
  • Check for items on shelf that are nearing or have exceeded their expiration Date.
  • Adjust Max/Min levels as needed based on the needs of the department.
  • Assist with an Inventory physical count at the end of the fiscal year.
  • Ensure Cycle Counts are performed according to procedure and adjusts QOH as needed.
  • Place stock and non-stock orders utilizing the MMIS
  • Put away inventory as it is received including stock transfers and outside orders.
  • Know the locations of items or can identify locations using the MMIS.
  • Place items in the correct BIN locations while rotating stock to ensure oldest products are used first.
  • Is familiar with and can identify inventoried products.

  • Materials Management & OR Departmental Functions Support:
  • Fill in for Shipping/Receiving, inventorying, delivering supplies, etc. as needed or available.
  • Support the product standardization process and assist clinical staff as needed.
  • Place non-stock orders based on electronic requisitions, phone calls, emails, etc.
  • Process returns and credits per the agreed upon procedure with Finance.
  • Print pick lists, barcode labels, and shelf labels as needed.
  • Review Invoice/PO discrepancies and clear up situations delaying the A/P invoice process.
  • Use barcode Scanning tools and software.

  • Materials Management & OR Departmental Functions Requisitions:
  • Receive departmental requests for supplies & services via MMIS, phone calls, emails, etc.
  • Place stock & non-stock orders utilizing the MMIS.
  • Deliver products to departments as needed.
  • Create and/or update Electronic Requisitions as needed.
  • Encourage users to use electronic requisitioning to take full advantage of its tracking capabilities.

  • In collaboration with Mat Mgt and Rev Cycle - Maintaining Item/Charge Master:
  • Continuously maintain the Item Master(s) for accuracy, price changes, etc.
  • Work collaboratively with Finance and Rev Cycle to maintain markups.
  • Build new items in the Item Master as needed.
  • Run month end reports for stock or non-stock items as required.
  • Make sure that individual items $10.00 and over are coded correctly as patient chargeable.

  • Qualifications

    Education: Bachelor's Degree in a related field preferred, or Associates Degree with two (2) years relevant work experience.
    Experience: Two years demonstrated, relevant experience preferred.
