About the Role

The Global Risk & Analytics (GRA) team is seeking an experienced Executive Assistant (EA) to join their team. GRA is the global investment risk function for Wellington and sits within the firm's Risk and Investment Science department. The primary focus of GRA is leading Wellington Management's portfolio oversight, risk measurement, and security analytics processes across our broad multi-asset, hedge fund, equity, fixed income and research strategies.

This EA role serves as the key gatekeeper and coordinator for the executives, requiring a high level of judgment, discretion, and outstanding collaboration. The ideal candidate is an experienced support professional with a demonstrated ability to work with senior executives in a financial or professional services environment. The EA must have exceptional attention to detail in a logistically intensive, deadline-driven environment and possess a proactive, anticipatory, and problem-solving personality.

Responsibilities

The EA will manage the overall daily support needs of the team, including but not limited to:


  • Complex and proactive calendar management, with extensive logistical coordination of internal and external meetings with various constituents.


  • Arranging domestic and international travel itineraries and accommodations.


  • Coordinating logistics for internal and external meetings or events.


  • Diligent and effective gatekeeping, triage, and prioritization via phone, email, etc.


  • Developing and maintaining strong collaborative relationships with multiple internal and external constituencies.


  • Tracking and reporting Corporate Card expenses.


  • Coordinating various departmental processes such as mid-year and year-end performance management cycles, onboarding and off-boarding employees, expense approvals, etc.


  • Maintaining various types of personal and confidential information.


  • Preparing detailed materials in Word, Excel, PowerPoint, OneNote, and other internal systems.


  • Providing cross-coverage and back-up support to other Administrative/Executive Assistants.


  • Assisting with ad hoc projects and other work as required.


Qualifications for Executive Assistant


  • Minimum of 5 years' experience in an administrative role within a professional services organization.


  • Experience in the investment management/financial services industry is preferred.


  • Exposure to global contexts, both professionally and/or personally, is advantageous.


  • Proven experience in executive travel coordination.


  • Advanced proficiency in MS Office; ability and desire to learn new technologies to drive efficiencies.


  • Strong attention to detail, diligence, and high work quality.


  • Excellent organizational, multi-tasking, and prioritization abilities.


  • Proactive problem-solving skills with an anticipatory mindset.


  • High level of reliability, professionalism, and discretion.


  • Ability to work under deadlines and accommodate last-minute changes.


  • Strong service orientation; remains calm under pressure with a positive, can-do attitude and sense of humor.


  • Outstanding interpersonal and communication skills, both verbal and written.


  • Typical work schedule is 8am - 5pm, with flexibility and overtime as required by business circumstances.


  • The firm's current hybrid working policy is minimum 3 days per week in office.

Our approach to compensation considers all aspects of total compensation; all employees are eligible to receive salary, variable compensation, and benefits. The base salary range for this position is:

USD 55,000 - 100,000

This range takes into account the wide range of factors that are considered when making compensation decisions, including but not limited to skill sets; role; skills and experience; certifications; and education. This range is an estimate, and further details on salary and total compensation aspects will be shared with candidates during the recruitment process.

Base salary is only one component of Wellington's total compensation approach. Other rewards may include a discretionary Corporate Bonus and/ or Incentives, if eligible.
