SUMMARY



The Administrative Assistant will provide support to IEN RA staff, acting as the focal point of contact for the respective RA Leader and Staff. This position serves as the liaison between the IEN RA Leader and visitors to the PM IEN office, as well as the immediate point of contact for the IEN RA Leader in terms of scheduling and managing travel coordination and general office support.

ESSENTIAL REQUIREMENTS



Must be able to obtain and maintain a Secret clearance which requires U.S. Citizenship.



KEY DUTIES AND RESPONSIBILITIES

Essential Duties and responsibilities include the following. Other duties may be assigned.


Greets and receives PM IEN visitors.


Answers phones and records accurate messages.


Schedules conference rooms and teleconference lines.


Schedules and coordinates of meetings (calendar maintenance).


Prepares and types reports, meeting minutes, alert/phone rosters, email distribution lists and organizational charts.


Maintains personnel contact list information.


Provides correspondence review/corrections/updates.


Documents reproduction, staffing and tracking.


Prepares and types official correspondence within the guidelines prescribed in Army Regulation (AR) 25-50 and be well-versed in Army correspondence practices.


Monitors office supply stock levels, alerts when restock is necessary.


Develops and coordinates executive travel itineraries, act as Defense Travel System (DTS) Entry Agent and provide expert advice for DTS/travel requests for civilian and military personnel.


Maintains business travel schedules, process and track Theater Clearance Requests / Country Clearance Requests for IEN RA personnel in the Aircraft and Personnel Automated Clearance System (APACS) in accordance with the DoD Foreign Clearance Guide.


Plans daily activities within the guidelines of company policy, job description and supervisor's instruction in such a way as to maximize personal output.


Responsible for aiding in own self-development by being available and receptive to all training made available by the company.

EDUCATION AND EXPERIENCE



Master's degree and five (5) years of relevant work experience, or Bachelor's degree and seven (7) years of relevant work experience.


Experience interacting with Army stakeholders supporting similar scope and scale of services is preferred.


Experience working successfully within a mature shared services-based capability for enterprise-level customers is preferred.

Demonstrates ability to communicate complex issues clearly in a concise and organized manner both verbally and non-verbally, with strong grammar skills. Demonstrates proficiency using Microsoft Office tools.


Demonstrates ability to develop structured research including, but not limited to, obtaining, evaluating, organizing, and maintaining information within security and data protocols.


Demonstrates ability to recognize nuances and resolve contradictions and inconsistencies in information.

Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures or governmental regulations. Ability to write reports, business correspondence and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers and the general public.



MATHEMATICAL SKILLS



Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of plane and solid geometry and trigonometry. Ability to apply concepts such as fractions, percentages, ratios and proportions to practical situations.



REASONING ABILITY



Ability to define problems, collect data, establish facts and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

Work is primarily performed in an office environment. Regularly required to sit. Specific vision abilities required by this job include close vision, distance vision, depth perception, and ability to adjust focus. Exposed to general office noise with computers printers and light traffic.
