Job Overview:

Our client is seeking a detail-oriented Leasing Administrator to join their commercial real estate team. The Leasing Administrator will be responsible for supporting the leasing process by preparing and managing lease documents, maintaining accurate records, and coordinating with tenants and property managers. The ideal candidate will have strong organizational skills, a keen eye for detail, and the ability to thrive in a fast-paced environment.

Key Responsibilities:
  • Lease Administration: Prepare, review, and manage lease documents, amendments, and renewals, ensuring accuracy and compliance with company policies and legal requirements.
  • Tenant Coordination: Serve as the primary point of contact for tenants regarding lease inquiries, ensuring clear communication and timely resolution of issues.
  • Record Keeping: Maintain accurate and up-to-date lease files, including tracking lease expirations, critical dates, and tenant information in the lease management system.
  • Rent and Billing Management: Assist in the preparation of billing statements, rent adjustments, and other tenant charges in coordination with the accounting team.
  • Compliance: Ensure all lease agreements comply with company standards and regulatory requirements, including insurance certificates and other tenant obligations.
  • Reporting: Generate regular reports on lease status, occupancy, and lease expiration schedules for management review.
  • Support Leasing Activities: Coordinate with property managers, brokers, and legal teams to facilitate the leasing process, including drafting letters of intent and proposals.
  • Lease Audits: Assist in lease audits to ensure accuracy of lease terms and conditions, and support annual budgeting and forecasting activities.
  • Database Management: Maintain lease data in the company's property management software, ensuring all information is current and accurate.

Qualifications:
  • Bachelor's degree in Business Administration, Real Estate, or a related field preferred.
  • 3+ years of experience in lease administration, property management, or a related field, preferably in commercial real estate.
  • Strong knowledge of commercial lease terms, agreements, and legal documentation.
  • Proficiency in property management software (e.g., Yardi, MRI, or similar) and Microsoft Office Suite, particularly Excel.
  • Excellent organizational skills with a high level of attention to detail.
  • Strong communication and interpersonal skills with the ability to build positive relationships with tenants, brokers, and internal teams.
  • Ability to prioritize tasks and manage multiple deadlines in a fast-paced environment.
  • Strong analytical skills and the ability to interpret lease language and financial terms.
