As our team in the U.S. continues to grow, we are currently seeking an Office Manager.

As the Office Manager, you will report to the President.

1. Insurance Management

Overseeing various types of insurance, such as vehicle, workers' compensation, directors and officers, and liability, ensuring all insurance policies are up to date and managed effectively.

2. Legal Affairs Coordination

Facilitating the transition of legal responsibilities, including updating company documents for Geobear CA, LLC, and Geobear USA.Liaising with legal counsel for introductions and handoffs.

3. Financial Oversight

Managing the company's Profit & Loss (P&L) analysis and ensuring accurate monthly and quarterly financial reviews.Preparing financial presentation materials (Google Slides) for reviews.Monitoring daily cash flow and managing 4-week cash flow forecasting and planning.Overseeing expense planning, processing payments, and reporting on expenses.Forecasting revenue and cash needs.Managing the company credit card, including transitioning to a new solution.

4. Financial Auditing

Conducting regular audits of expenses, receipts, employee spending, and client invoicing.Managing and ensuring accurate integration between financial systems (e.g., QuickBooks) and CRM tools (e.g., Salesforce).Overseeing payroll, including accuracy checks and processing.

5. Accounting Management

Directly managing all accounting matters, including regular meetings with the Bookkeeper and ensuring timely delivery of Balance Statements and P&L reports.Managing the relationship with the accounting firm, overseeing tax filings for Geobear CA, LLC, and Geobear US, and ensuring compliance with IRS requirements.

6. Office Administration

Managing the lease and relationship with the landlord, including handling the office security/alarm system.Ensuring the office is adequately stocked with necessary supplies.

7. Salesforce compliance

Managing and auditing weekly data entry quality and system compliance

8. KPI reporting and process development

Driving efficiencies across the business

Summary of Responsibilities:

The Office Manager in this role will serve as a critical administrative leader, overseeing insurance, legal, financial, and administrative functions. They will ensure smooth daily operations, financial accuracy, legal compliance, and the maintenance of office facilities, all while supporting the broader needs of the company's leadership and ensuring the company's infrastructure is running efficiently. You are keeping track of the fast growing field operation.
