Position Overview: Laken Design is an interior design firm seeking a detail-oriented and proactive Procurement Specialist/ Project Coordinator to join our dynamic team. The ideal candidate will be responsible for managing the procurement process, ensuring timely delivery of products, and maintaining seamless coordination between various departments. This role is crucial in ensuring that our design projects run smoothly and efficiently. Although an eye for design is appreciated, this is not an interior designer role.

Key Responsibilities:

Procurement:
  • Create client proposals for design services, contractor services materials and furnishings.
  • Place all purchase orders for project materials, furnishings, fixtures and equipment.
  • Maintain all order acknowledgements and input vendor orders into appropriate software.
  • Manage inspection of all received goods for damages and ensure they meet the required quality standards.
  • File claims with vendors when product is missing or arrives damaged and follow up on all outstanding claims.

Vendor and Supply Management:
  • Establish trade accounts and maintain positive vendor relationships.
  • Work to secure best pricing and terms possible from vendors to increase profitability.
  • Manage all incoming and outgoing vendor communication in a timely manner.
  • Create, maintain and update vendor database and pricing schedule.

Bookkeeping:
  • Collect and record client payments and maintain accurate records of all procurement transactions.
  • Track purchase orders, receipts and invoices for project bookkeeping and reconciliation.
  • Reconcile credit card and bank statements against bookkeeping software.
  • Prepare monthly analysis of project profitability, analyze company accounts receivable.

Project Coordination:
  • Track all purchased product and follow up with vendors to ensure timely delivery.
  • Communicate with warehouse receiver to ensure delivery and receipt of product.
  • Coordinate warehouse storage and deliveries to project sites.
  • Create, maintain and update order trackers and be prepared to discuss the status of all orders on all projects at weekly team meeting.
  • Create installation timelines and coordinate with all all parties including design team, client and delivery teams to oversee successful day of install.

Qualifications:
  • Bachelor's degree
  • 2+ years of experience in a procurement or project coordination role, preferably with a design firm.
  • Working knowledge of accounting principles, sales tax and general ledger reconciliations.
  • Experience in Google Suites along with Design Docs and/or Studio Designer is a plus.
  • Organizational skills, strategically thinking and time management are a must.
  • Strong communication skills and the ability to negotiate results.
  • Flexible and adaptive to managing deadlines and multiple projects simultaneously
  • Ability to manage multiple projects simultaneously and work in a fast paced environment.
  • Open minded and positive attitude with the ability to partner cross-functionally and grow relationships.
  • Proactively finding ways to add value without being told what to do.
