Role Overview As an Executive Assistant, you'll play a crucial role in supporting Agrippa's growth by managing key administrative and operational functions. This position is ideal for a highly organized self-starter who thrives in a fast-paced, high-growth startup environment and is excited about wearing multiple hats. While initially focused on behind-the-scenes support, this role offers significant potential for growth into areas such as direct user success management and investor relations.
Responsibilities
Assist with managing and prioritizing the growing waitlist of potential users, ensuring a smooth transition from waitlist to accepted user.
Maintain user relationships through email, supporting the CEO in providing timely and helpful responses to any questions or issues.
Schedule and coordinate meetings, calls, and appointments for the CEO.
Help organize and track user engagement, deal submissions, and follow-up activities to ensure no opportunity is missed.
Gather relevant user information to create briefing materials in support of the CEO's preparation for calls.
Assist in developing and refining follow-up processes to improve user experience and operational efficiency.
Assist with other simple ad hoc tasks as assigned by the CEO.
Requirements
1-2 years of experience in an administrative or support role, preferably in a fast-paced environment.
Exceptional organizational skills with the ability to manage multiple tasks and priorities effectively.
Strong written communication skills for drafting emails and preparing reports.
Proficiency in email management, calendar scheduling, and organizational tools.
Demonstrated ability to work independently, take initiative, and adapt quickly in a rapidly evolving environment.
Discretion and professionalism in handling confidential information.
A proactive, problem-solving mindset with a passion for improving processes and systems.
Ability to maintain composure and effectiveness with shifting priorities.
Nice-to-Have
Bachelor's degree.
General familiarity with commercial real estate terminology.
Some experience in a high-growth startup or scale-up environment.
Knowledge of G Suite, Microsoft Office, Notion, ClickUp, HubSpot, Calendly, and AI tools like ChatGPT or Claude.
Interest in technology and its application in traditional industries.
